Private Flight is an international technology company delivering innovative software and process solutions for the private aviation industry. Building an industry‑changing global business takes hard work and commitment, we are seeking a dynamic Strategic Assistant to join our motivated and professional multi‑cultural team based in Zug, Switzerland.

The Strategic Assistant works closely with the CEO and is responsible for planning and coordinating all administrative, financial, and operational activities for the CEO. This role provides key insights and directs the CEO’s focus, working closely with employees, customers, partners, and external consultants on strategic and important items. This position places you at the heart of an exciting international business, handling day‑to‑day tasks while also managing strategic planning processes across the organisation.

This role is a unique opportunity for individuals seeking significant business experience and personal development within a dynamic international company. The position requires full‑time commitment and is an in‑person position, with some flexibility. Given the global nature of the business, flexibility with working hours is expected.

Responsibilities Strategic and Operational Support
  • Assist in the oversight and guidance development, implementation, and monitoring of the company's short, medium and long‑term strategies and goals.
  • Ensure the CEO is focused on the most critical items for the company and help complete priority items for the CEO with high‑quality standards.
  • Create professional reports and presentations for a range of stakeholders.
  • Analyse information and correspondence, condensing to relevant points and prioritising effectively.
  • Maintain the CEO’s accessibility and openness to new ideas and proposals.
  • Medium‑term oversight of the current HR function with respect to recruitment and employee lifecycle until function is filled by People and Culture Manager.
  • Support Accounting department to be strategic goals and tasks to fruition.
Administrative and Reporting
  • Manage communication (e.g., email) and calendar management/personal administration for the CEO, including booking travel.
  • Ensure smooth daily operations of our Swiss office.
  • Keep the CEO accountable for commitments and help keep reports accountable for results.
  • Oversee general administration of Group entities, including filing, documentation, and minute‑taking.
  • Act as Company Secretary to prepare and distribute Board papers.
  • Ensure clear and timely reporting to the CEO and Board of Directors.
Leadership and Communication
  • Support the CEO in managing team communication and collaboration.
  • Provide leadership support and direction in key projects and initiatives.
  • Promote the company’s vision and mission to internal and external audiences.

The ideal candidate is capable of juggling multiple tasks, prioritising effectively, and wearing different hats as needed. You should be able to work independently and collaboratively with the CEO. You are confident, articulate, well‑organised, and detail‑oriented with a will‑do attitude. Exceptional English and German communication skills are essential, and you must be highly trustworthy, as the role demands absolute discretion and confidentiality.

Moreover, you possess good leadership skills, an abundance of common sense, and business acumen, enabling you to effectively navigate complex organisational dynamics and contribute to strategic decision‑making processes.
