Overview

POSITION SUMMARY:

To assist the Chief Financial Officer with directing the organization's accounting functions. These functions include establishing and maintaining the organization's accounting controls, the organization’s accounting principles, practices, and procedures, and the organization’s initiatives. Primary responsibilities will include preparing financial reports. Will supervise, lead and direct the work of others in the business services department.

While performing the duties of this job, the employee is regularly required to sit and stand, use hands to handle or feel objects, tools, or controls and talk or hear. The employee frequently is required to walk, reach with hands and arms, climb or balance and stoop, kneel, crouch, or crawl.

The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

Typical Working Conditions

While performing the duties of this job, the employee regularly works in a typical office environment. The noise level in the work environment is usually moderate. There are no environmental hazards indicated for this position. Minimal travel may be required.

Examples of Duties
  • Ensure the existence and operation of internal controls structure and procedural recordkeeping safeguards.
  • Serve as point for implementing new structures and suggesting work flow and process revisions, as deemed necessary.
  • Assists the Department Lead in annual budget preparation and budget administration.
  • Perform monthly bank reconciliations for all accounts. Monitor bank balances and transfer funds as needed.
  • Perform or assist in the cyclical preparation of monthly, biannual, and annual accounting period close-outs.
  • Prepare reimbursement claims and /or generate financial documents for federal funds and grants including Title I, II, III and Special Ed grants.
  • Prepare or assist in the preparation of state and federal reports as needed.
  • Conduct or coordinate audit preparation and facilitation, including timely and effective account reconciliations. Serves as primary point of contact with external auditors.
  • Manage and lead ZCS building treasurers, business office staff and their functions.
  • Oversee staff cross training and succession planning. Facilitate the requisite training.
  • Act as liaison and main point for contact for the school corporation’s accounting software provider.
  • Act as liaison and main point for contact for banks and financial institutions with which the school corporation has or is developing business relationships.
  • Resolve technical accounting issues that involve accounting software issues.
  • Attend meetings and seminars required for the performance of job duties and learn the rules and regulations required by all applicable state and federal regulatory agencies, including the State Board of Accounts, Department of Local Government Finance, Indiana Department of Education, US Department of Education, etc.

  • Maintain confidentiality of sensitive information.
  • Relate well to a variety of individuals, including parents, students, staff and community members.
  • Work independently while keeping direct supervisor informed of business department operations.
  • Maintain and role model professional demeanor at all times.
  • Communicate professionally and effectively with all levels of the organization.
  • Other duties as assigned by the Department Lead, Superintendent or designee.
  • Qualifications
    • Performance Requirements:
      High level of expertise in a variety of concepts, practices, and procedures in school finance. Advanced understanding and knowledge of current technology, software applications and equipment, including an advanced skill level in Microsoft Excel. Must be familiar with office management, methods and procedures. Must be highly detail oriented and organized. Communicates in a timely and professional manner at all times with all business department and building level personnel.

      Work independently while keeping direct supervisor informed.
    • Bachelor Degree in Accounting, Finance, or Business Management preferred.
    • 3-5 years combined experience with school fund accounting, budgeting and management preferred.
