Position: PT - Administrative Assistant I, Student Services Advisement and Student Success

PT - Administrative Assistant I, Student Services Advisement and Student Success

Summary of Function: Grant Funded. This position provides clerical/administrative support to all TRIO Programs.

Typical Duties:

  • Serves Students. Compiles and maintains confidential, accurate, up-to-date student records, which include documentation of eligibility, student academic records, contacts, exit information, follow-up information, etc., for students in compliance with federal regulations. Inputs contact logs, College Readiness Plans, and surveys.
  • Answers telephone, take messages accurately. Maintains an office atmosphere conducive to meeting the needs of program participants. Makes reminder calls to participants; provides information to students, staff, and the public.
  • Prepares and send mailings to participants/parents. Assists with activities and event preparation and set-up. Assists with calendars and scheduling.
  • Supports and participates in strategic planning initiatives and perform other duties as assigned.

Required Qualifications:

  • High School Diploma or equivalent

Preferred:

  • Bilingual (English/Spanish) preferred, but not required; language proficiency must be demonstrated on application materials

Additional Eligibility Requirements:

  • Arizona Driver’s License or Equivalent

Work Schedule:

  • Part-time
  • Up to 19 hours per week
  • Work flexible schedule to meet the program, department, and/or institutional needs, which may include Fridays, nights, and/or weekends

Knowledge, Skills, and Abilities:

  • Knowledge of and ability to interpret, apply, and follow college policies and procedures
  • Knowledge of or ability to maintain organizational structure, workflow and operating procedures
  • Knowledge of compliance requirements for federally funded student support programs
  • Knowledge of meeting coordination, administrative support practices, and calendar management
  • Skill in current technologies and word processing, database, presentation, and spreadsheet software, specifically Microsoft Office applications, Windows, college system platforms, software and applications, especially those specific to the department operations
  • Skill and ability to be self-directed and to manage one’s own time
  • Skill in performing a variety of duties, often changing from one task to another of a different nature
  • Skill in maintaining accurate records
  • Ability to complete all departmental and/or institutional mandatory training or development
  • Ability to organize, prioritize, follow multiple projects and tasks through to completion, with close attention to detail
  • Ability to work independently and contribute to a collaborative team environment
  • Ability to provide assistance in a professional and supportive manner
  • Ability to communicate effectively, verbally, in writing, and in a public setting, and to relate to others in a professional manner
