Summary

Provides general office support with a variety of clerical activities and related tasks. The receptionist will be responsible for answering incoming calls, directing calls to appropriate associates, mail distribution, flow of correspondence, as well as additional clerical duties.

Essential Duties and Responsibilities include the following. Other duties may be assigned:
  • Answers telephones and directs the caller to the appropriate associate. Transfers callers to voice mailbox when the associate is unavailable.
  • Frequent lifting & moving. Must have the ability to lift, move, push, pull & transfer 50lbs with the physical capability to perform all job-related duties.
  • Greets and directs visitors to the company.
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information.
  • Receives, sorts and forwards incoming mail. Runs outgoing mail through the postage meter. Refills the postage and updates the meter when necessary. Prints monthly report from the postage meter of postage usage by department.
  • Coordinates the pick-up and delivery of express mail services (Fed Ex, UPS, etc.).
  • Assists with other related clerical duties such as typing, photocopying and faxing.
  • Receives checks from residents and maintains list of checks received each day. Checks are forwarded to Accounting Director.
  • Receives requests from residents for to and from Doctor’s appointments. Inputs appointments on Outlook. Distributes schedule to drivers at 5pm each day for the following day’s transportation needs.
  • Receives and inputs resident work orders.
  • Assumes accountability for all information contain in the employee handbook.
  • Work is performed independently within guidelines of job description
