The Receptionist / Front Desk Representative serves as the first point of contact for residents, families, visitors, and staff. This position is responsible for providing a professional, welcoming environment while managing incoming calls, greeting guests, and supporting administrative operations within the facility.
Key ResponsibilitiesGreet residents, visitors, vendors, and staff in a courteous and professional manner.
Answer and direct incoming phone calls promptly and accurately.
Maintain the front desk area in an organized and professional condition.
Manage visitor sign-in procedures and ensure facility security protocols are followed.
Provide general information regarding the facility, departments, and visiting hours.
Receive, sort, and distribute incoming mail and packages.
Assist administrative staff with clerical duties such as filing, copying, scanning, and data entry.
Coordinate communication between departments when necessary.
Monitor lobby activity and report any concerns to appropriate staff.
Support scheduling of meetings or appointments as requested by administration.
Maintain confidentiality of resident and facility information in accordance with HIPAA regulations.
High school diploma or equivalent required.
Previous receptionist or customer service experience preferred, ideally in a healthcare or long-term care setting, REQUIRED
Excellent verbal and written communication skills.
Professional demeanor and strong interpersonal skills.
Ability to multitask and manage a high-volume front desk environment.
Proficiency in basic computer systems (Microsoft Office, email, and phone systems).
Strong organizational skills and attention to detail.
Fast-paced healthcare setting.
Frequent interaction with residents, families, staff, and visitors.
