Job description

The post holder will be responsible for providing a high standard of administrative support to the Mental Health Team (MHT). The Administration Officer (AO) will work to the direction of the Executive Officer (EO) Practice Manager to support the clinical staff based within the Department of Community Mental Health (DCMH). The post holder will be responsible for all administrative requirements for both new and current patient caseloads which includes liaison with other Medical Centres and outside agencies.

The post holder will also be responsible for managing clinical diaries and clinics, answering telephone queries, booking medical documents in/out, dealing with the post, and sending and receiving faxes/emails. To provide cover for the Executive Officer (EO) in their absence.

Person specification

The duties and responsibilities of the role include, but are not limited to:

  • As part of the DCMH administrative team the AO is responsible for providing full administrative support to all doctors, clinical staff, and reception duties within the DCMH. This will include managing clinics and organisation and management of appointments.
  • As part of the DCMH administrative team the AO is responsible for covering the reception duties and ensures that a high standard of administrative support is maintained to allow a safe and effective delivery of Mental Healthcare.
  • Liaise with patients, Medical Officers, and Medical Facilities to ensure correct patient contact details, arranging of appointments and dealing with any queries.
  • Answering the office and reception phone, dealing with queries within your own area of expertise and taking accurate messages as appropriate for other staff and booking appointments via the Defence Medical Information Capability Program (DMICP).
  • Organise travel and accommodation for clinical duties for clinical staff when requested.
