Job Title:Sales Support (Admin) Position Summary
We are seeking a highly organized and detail-oriented Sales Support (Admin) to support our sales team through CRM management, reporting, administrative coordination, vendor portal oversight, marketing collateral updates, and conference execution. This role serves as a centralized operational hub for the sales organization - ensuring data accuracy in Salesforce, timely reporting, smooth scheduling and travel coordination, and seamless execution of conferences and vendor-related initiatives.
Key Responsibilities Salesforce CRM Management- Own and maintain Salesforce CRM, ensuring data accuracy, completeness, and data hygiene.
- Track pipeline activity, sales performance, and reporting metrics.
- Generate dashboards and reports for sales leadership.
- Support newly onboarded team members with CRM processes and best practices.
- Identify opportunities to improve CRM workflows and efficiency.
- Create and distribute weekly sales memos summarizing performance, updates, and key initiatives.
- Maintain and update sales tracking spreadsheets (Excel or Google Sheets).
- Assist leadership with sales analytics and reporting insights.
- Manage team scheduling, meeting coordination, and calendar management.
- Book flights and coordinate travel logistics for conferences and meetings.
- Ensure operational alignment across internal teams.
- Manage vendor portal submissions and documentation.
- Coordinate internally with Rosa and John on vendor-related matters as appropriate.
- Maintain organized vendor records and ensure information remains current.
- Organize and distribute marketing materials.
- Update market collateral and sales pitch decks using Canva.
- Ensure brand consistency and up-to-date messaging across materials.
- Serve as the centralized hub for conference planning and execution.
- Coordinate logistics, timelines, materials, and vendor-related documentation.
- Track deliverables and ensure cross-functional alignment.
- Support pre-event preparation and on-site coordination as needed.
- Experience managing Salesforce CRM (required).
- Strong proficiency in Excel or Google Sheets.
- Experience with Canva for presentations and marketing collateral.
- Excellent organizational and time-management skills.
- Strong attention to detail and follow-through.
- Ability to manage multiple priorities in a fast-paced environment.
- Experience supporting sales teams or operations functions preferred.
