Position: Bed Assignment Coordinator, Transfer Center, 24 Hour, Nights

Exemption Status: Non-Exempt

Hiring Range: $20.94 - $33.59

Schedule Details: Holidays - Every Third Holiday, Monday through Friday, Weekends (Saturday and Sunday), Every Third Weekend

I. Major Responsibilities
  • Receives and triages phone calls from ER, OR, Clinics, and Short Stay. Logs all incoming requests and updates Reservation Request Lists.
  • Enters intake patient information into the bed management system and provides bed status updates.
  • Creates reservation requests for urgent admits from clinics, home, and other facilities. Monitors bed availability and alerts supervisors when additional resources are needed.
  • Prioritizes requests on the Reservation Request List in accordance with department practice and policies. Applies functional knowledge of inpatient hospital units.
  • Escalates priority issues to Care Connection Center Director and/or Manager as needed. Escalates room turnover issues to housekeeping supervisors as needed.
  • Registers patients by entering demographic and insurance information. Follows up to correct discrepancies as required.
  • Books appropriate beds on both campuses for patients on the Reservation Request List and completes necessary admissions paperwork. May reassign patients based on changes noted in acuity when patient arrives at the hospital.
  • Provides relevant patient information to the admitting unit to facilitate the patient's care upon arrival.
  • May assist families/visitors in locating admitted patients and/or with hotel arrangements in accordance with hospital/departmental policy.
  • Reconciles the hospital census, ensuring patients are listed in the correct beds within the bed management system.
  • Monitors and analyzes key patient flow statistics to achieve system‑wide benchmarks.
  • Reviews patient census across both campuses and runs a variety of occupancy/census reports. Distributes relevant reports to leaders within UMMMC daily.
  • Updates physician fields within bed management system as required. Records changes in log and responds to physician change requests.
  • Reconciles OR schedule with the bed management system and elective pre‑registration list. Adds patients to the Reservation Request List in the bed management system on the appropriate date.
  • Maintains accurate and timely records, logs, files, and related information as required. Updates DPH website as required by department/hospital policy.

Qualifications
  • High School graduate or equivalent.
  • 3+ years of related experience.
  • Proficiency in specialized applications software and computer systems for patient registration and scheduling.
  • Knowledge of medical terminology, third‑party payer billing and managed care requirements and procedures.
  • Typing speed of 35+ words per minute.
  • Equivalent combination of education and experience may be substituted for the above requirements if it provides proficiency in the areas of responsibility listed.
Physical Demands and Environmental Conditions

Work is considered sedentary. Position requires work indoors in a normal office environment.
