Major Areas of Responsibility

Subject Matter Expertise

    Serves as the office’s expert in the areas of event planning and management and departmental operations:

Major events and weekend, late-night programming

    Advises Campus Activities Board (CAB) which is responsible for weekly innovative programming for the student body as well as major campus programming traditions (Spring Concert, Spring Weekend, Welcome Week, Winter Weekend, Battle of the Bands)

    Develops leadership training and event planning and implementation training for the Campus Activities Board, including e-board and committee chairs

    Supervises, trains and manages the student event managers (student employees) to ensure a robust late-night social presence on campus during the weekends

    Manages events and programs often on nights and weekends

    Implement event management protocols that are consistent with College-wide policies and procedures

    Liaise with vendors as appropriate and serve as the primary point of contact for contracts

    Coordinate student and staff assistance with events and programming as appropriate

    Work with the Assistant Dean/Director and other staff in the Division and across campus to develop a coordinated approach to student social programming each semester

Departmental operations

    Serves as event planner for some recognized student organizations (approximately 20) to ensure all events are planned and implemented in accordance with department and College policies and procedures

    Manages the Sader Center, a student kiosk providing recreational activities for rental, including inventory, communications, hiring and training of student employees, and assessment/evaluation of utilization

    Serves as point of contact for myHC (Campus Groups) for student engagement, data collection, and user management

    Assists with implementation of major events offered by the Office of Student Involvement

Supervision

    Supervises student employees in the Sader Center and student event managers

    Shares supervision and support of student workers and interns as relevant and appropriate.

Campus Collaborations

    Collaborate with key campus stakeholders, including but not limited to staff in Student Development, Facilities, Athletics, and Hospitality Services

Strategic Planning / Assessment

    Utilize data and feedback to drive change and sustain standard practices

    Develop and execute annual goals and annual assessment plans

    Recommends and implements changes based on best practices and benchmarking

Event Management

    Collaborates with the appropriate campus partners to plan and implement both small- and large-scale, and virtual and in-person, events, including Hospitality Services, Facilities, ITS, etc.

    Utilizes EMS and my HC to manage and promote events.

    Ensures that student club-sponsored events adhere to the College’s policies and procedures.

Risk Management

    Coordinate overall risk management activities and prevention for the event program, including identifying and liaising with individuals designated as campus subject matter experts in specific areas of risk.

Budget Management

    Monitors budget status and ensures business processes are established, followed, and maintained for the Campus Activities Board and assigned recognized student organizations

    Works with others in OSI to ensure adherence to good budgeting practices

Student Advising and Mentorship

    Advise, train and mentor student leaders, providing appropriate feedback and maintaining group morale

Office Leadership

    Work with others in OSI to contribute to a culture of teamwork and collaboration

    Support OSI efforts and priorities

    Other duties as assigned

Minimum Qualifications

    Bachelor’s degree required;
    Master’s degree is strongly preferred.

    1-2 years of progressive experience in student activities, student leadership, student development, or a closely related field.

    A desire to work in a fast-paced; diverse and vibrant global institution is essential.

    An understanding of and appreciation for student development in a Jesuit Catholic context and a passion for working with students.

    Must be able to work collaboratively, independently and be able to make sound decisions independently.
