Worcester Recovery Center and Hospital (WRCH), operated by the Department of Mental Health (DMH), is seeking an experienced Clerk III/Unit Secretary to perform duties associated with the Unit Clerk position. The main duties include answering phones, routing messages, maintaining Medical Records, and performing administrative tasks such as typing, photocopying, faxing, and data entry for the unit. Perform other duties as needed.
Please Note: This position is 37.5 hours per week. The selected candidate will work Monday through Friday from 7:00 AM to 3:00 PM with Saturday and Sunday off.
Duties and Responsibilities- Treats all patients with dignity and respect through interactions that affirm the individual’s needs and preferences, advocate for patients, facilitate timely resolution of concerns, and assist patients in exercising their rights.
- Answers telephone calls and provides routine information concerning agency services according to established procedures.
- Files and retrieves material such as correspondence and Medical Record forms in accordance with detailed procedures.
- Prepares standardized forms such as routing slips and tracking slips according to detailed procedures.
- Receives and distributes incoming mail and packages to appropriate individuals within the unit.
- Posts information to logs or records according to prescribed procedures.
- Operates office machines and equipment requiring training, including computers, photocopiers, and fax machines.
- Reviews forms, lists, documents, correspondence, and/or reports for accuracy and completeness.
- Performs typing functions where speed is not essential, such as typing forms, routine correspondence, envelopes, labels, and index cards.
- Maintains Medical records according to established procedures to ensure accurate and complete information.
- Answers inquiries related to laws, rules, regulations, policies, and procedures governing agency services.
- Schedules or arranges conferences, meetings, interviews, or similar activities by reserving facilities, coordinating availability, and notifying involved parties to ensure attendance.
- Prepares requisitions to replenish supplies.
- Notifies appropriate parties of information such as meetings, conferences, court decisions, trial cancellations, patient arrivals and discharges.
- Compiles statistical information for agency activity reports.
- Proofreads typed material for grammar, punctuation, spelling, formatting, accuracy, and completeness.
- Composes routine correspondence such as requests for information and confirmations of meetings.
- Performs other duties as required.
- Knowledge of English language including spelling, word meaning, and usage.
- Ability to understand, apply, and explain laws, rules, policies, and procedures governing unit activities.
- Ability to use proper grammar, punctuation, and spelling.
- Ability to follow written and oral instructions.
- Ability to assemble information in accordance with established procedures.
- Ability to work accurately with names, numbers, codes, and symbols.
- Knowledge of standard office filing systems and clerical practices.
- Knowledge of office record keeping, correspondence control, and use of office equipment and supplies.
- Ability to complete assigned duties in a reasonable timeframe.
- Ability to deal tactfully with others and maintain harmonious working relationships.
- Ability to exercise discretion in handling confidential information.
- Ability to determine proper format and procedure for assembling information.
- Ability to perform typing tasks where speed is not essential.
Located on over 20 acres in Worcester, Massachusetts, WRCH is part of an integrated network of mental health services, providing inpatient care for adults and adolescents, including a Deaf Inpatient Mental Health Service program.
