Summary

We are seeking a Sales Administrative Assistant to support our growing sales team. This full‑time in‑office position includes a comprehensive benefits package and the opportunity to play a key role in maintaining smooth, efficient sales operations.

We’re looking for a proactive, detail‑oriented professional with excellent communication skills and the ability to work both independently and collaboratively.

Job Responsibilities
  • Provide administrative and operational support to the sales team to ensure efficient daily workflow.
  • Maintain office operations and uphold internal organizational standards.
  • Assist with document preparation, proofing, and distribution for various sales materials.
  • Cross train with marketing on trade shows, hotel bookings, and other marketing duties as assigned.
Job Duties
  • Document Preparation & Quality Assurance
    • Review, edit, and proofread sales proposals to ensure accuracy, consistency, and professional quality.
    • Prepare and distribute Statements of Qualifications (SOQs) to clients.
    • Coordinate and send proposal packages via email in a timely and polished manner.
    • Maintain and update Microsoft Office and Adobe templates to support consistent branding.
  • Organization & Workflow Support
    • Assist with maintaining accurate, organized electronic files and document libraries.
    • Perform database entry and updates as needed.
    • Support general office duties related to sales operations.
Skills and Qualifications
  • Strong interpersonal skills and a demonstrated ability to be a collaborative team player.
  • Exceptional verbal and written communication skills.
  • Strong command of grammar, spelling, editing, and proofreading.
  • High attention to detail with a commitment to accuracy.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to manage and prioritize multiple tasks in a fast‑paced environment.
  • Strong organizational and process‑oriented mindset.
  • Experience reviewing proposals, contracts, or technical documents.
  • Experience with document development, formatting, and version control.
  • Basic database entry skills.
  • Familiarity with cloud‑based document management or file‑sharing systems (preferred, not required).
Preferred Experience
  • Prior experience in an engineering, construction, professional services, or technical environment.
  • Experience supporting a sales or business development team.
