Summary

The Operations Manager is responsible for the day‑to‑day management of multiple pediatric urgent care locations. They will partner with Regional Operations Directors and Regional Medical Officers to create and maintain the highest level of clinical and operational excellence in their locations. This is a full‑time role with both clinical and administrative responsibilities. This is not a remote or hybrid position and requires onsite presence and accountability.

Additionally, the Operations Managers will be responsible for being the Administrator On‑Call for the region on a rotating basis dependent on the size of the region. The Operations Manager should excel at identifying challenges in the sites and creating innovative workflows and solutions to ensure that the site meets key performance indicators.

Description Employee Management
  • Provide a consistent on‑site managerial presence to coach staff, encourage teamwork, and enhance site communications.
  • Recruit, interview, and hire Clinical Support Staff (CSS).
  • Coordinate and assist with onboarding and training for CSS and Provider staff.
  • Create and manage CSS schedules and coordinate with regional leadership to maintain staffing levels. Coordinate coverage for shifts that are understaffed.
Quality and Safety
  • Ensure that staff are utilizing best practices and tools for maintaining clinical excellence.
  • Ensure resolution of quality/safety concerns through submission, review, escalation, and coordination. Identify and implement solutions/improvements, and document meaningful follow‑up in the safety reporting system.
  • Review and respond to data, partnering with central support team and regional leadership team to ensure consistent delivery of safe, high‑quality care. Intervene, escalate, and engage support to address low performance.
Site Management
  • Responsible for inventory management including ordering and inventorying supplies, reviewing, and submitting invoices to accounts payable, monitoring backorders and recalls, and coordinating medical equipment inspections.
  • Ensure facilities maintenance including surveying sites for repairs, entering tickets via facilities maintenance system, arranging onsite presences for repairs, tracking annual inspections (i.e., fire extinguishers inspections, etc.).
  • Ensure facility safety and security by preventing and addressing concerns and coordinating access for staff and contractors.
  • Account for site finances, including making bank deposits and performing weekly reconciliation, managing petty cash, and submitting batch and expense reports.
Marketing
  • Commit or delegate approximately 5‑6 hours per week to local marketing initiatives.
  • Establish and maintain a local outreach calendar, put together swag bags, distribute collateral, research local events, plan hosted events, etc.
  • Attend and secure staff to attend local events to spread awareness and represent their urgent care center(s).
Clinical Duties
  • Clinical requirement of 48 hours/4‑week block.
  • Maintain clinical licensure and training as required by clinical role.
Qualifications
  • Clinical experience preferred. Urgent Care experience is preferential.
  • Pediatric experience preferred.
  • Healthcare managerial experience of 3‑5 years.
  • Proficiency in MS Office Suite and Office 365.
  • Excellent written and verbal communication skills while remaining tactful.
  • Strong organizational skills
