About Us
Don Shaw Law is a growing boutique estate planning and probate firm with offices in Woodbridge and a new Arlington location opening in the coming months. We are seeking an Operations Manager to help keep the firm running smoothly as we scale.
This role is ideal for someone who is highly organized, practical, and comfortable taking ownership of day-to-day operations. You will work closely with the firm owner and staff to ensure that systems, people, and logistics stay aligned as the firm grows.
What You’ll DoThis is a hands-on role. You will be responsible for execution, not strategy decks.
Operations & Office Management
- Coordinate office operations across two locations (Woodbridge and Arlington)
- Manage vendors (IT, phones, copier, office services, utilities, maintenance)
- Oversee office logistics, supplies, and physical setup
- Serve as point person for operational issues so the attorney team can stay focused on clients
People & Hiring Support
- Assist with hiring logistics (posting roles, coordinating interviews, onboarding)
- Support staff scheduling, workflows, and internal coordination
- Help implement and maintain basic policies and procedures
Process & Systems
- Identify operational friction and help streamline workflows
- Maintain internal systems related to scheduling, intake flow, and firm operations
- Coordinate with outside platforms and tools already in use (no system overhaul required)
Owner Support
- Act as a trusted operational counterpart to the firm owner
- Take ownership of tasks that currently pull the owner out of legal work
- Not a legal position
- Not a Chief of Staff or COO
- Not a strategy or consulting role
- Not remote
This is an execution-focused operations role with room to grow.
Who You Are- Highly organized, reliable, and detail-oriented
- Comfortable managing multiple moving parts without hand-holding
- Professional communicator who can deal with vendors, staff, and leadership
- Calm under pressure and able to prioritize without drama
- Experience in a law firm, professional services firm, or small business operations is strongly preferred
