Community Paediatrics are looking for a highly motivated Administrative Assistant to provide essential support to our medical secretary and administrative teams at the GEM Centre.

This is a full time, office based position, working Monday‑Friday at the GEM Centre, Neachells Lane, Wolverhampton.

Responsibilities
  • Prepare notes for all attendances and ensure reports relevant to each attendance are available.
  • Accurately input, update and monitor patient related information onto the patient administration system and within databases / spreadsheets.
  • Process, book in and cancel appointments for clinics, home visits and school visits.
  • Type and produce non‑clinical letters and documents when required.
  • Demonstrate competent interpersonal skills with staff, young people, parents, carers and professionals on the telephone and face to face, providing routine, non‑clinical information where appropriate.
  • Problem‑solve, dealing with enquiries effectively and responsively – redirecting if necessary/appropriate to do so.
  • Deal with queries, checking data with staff and patients.
  • Communicate information verbally and in writing and communicate routine information with patients and staff.
  • Plan and prioritise own workload.
  • Provide support to colleagues, both admin and clinicians as appropriate and when needed, which may include sending out letters, uploading of documentation / scanning, and inputting of data.
  • Follow Trust and Local department policies.
  • Demonstrate own activities to new or less experienced employees.
  • Undertake surveys or audits, as necessary to own work – e.g., complete staff surveys, basic audit pro‑forma.
