Southview Medical Practice is a friendly, forward thinking GP surgery in Woking, Surrey. We are looking for an experienced, highly motivated Practice Manager to lead our nonclinicalteam and support the partners in delivering safe, efficient and sustainableprimary care.
Main duties of the jobThis is a full-time position (37.5 hours per week). The successful candidate will be responsible for the day to day operational management of the practice, including
- Leading andline managing the administrative and reception teams
- Overseeingpractice finance and budgets, including payroll, invoicing and monitoringincome/expenditure
- Ensuring compliance with CQC requirements and other statutory and contractual obligations
- Supporting the partners with workforce planning, HR processes and staff development
- Managingpractice IT systems (including EMIS Web), data quality, informationgovernance and confidentiality
- Overseeingappointment systems, access, and patient experience, including complaintshandling and responses
- Working closely with the PCN, ICB and other local stakeholders on service development and contractual changes
- Supporting the partners with business planning, QOF, enhanced services and practiceperformance indicators

- Stable partnership of 6 GP Partners and 3 Salaried GPs as well as ENP and Clinical Pharmacist
- GMS GP practice based in Woking, Surrey
- Mixed demographic with a growing patient list of just under 11,000 patients
- Multidisciplinary team including GPs, nurses, HCAs, ENP and additional roles via the PCN
- Training practice for junior doctors, medical students, pharmacy students and supporting pharmacists on the PCN CPPE pathway
- High achieving for QOF and CQC good rating
- Fully computerised using EMIS Web
Job summary:
Responsibility for the smooth, efficient and profitable running of the practice, and maintaining a happy and committed team.
Also keeping the partners abreast of forthcoming changes in the NHS and giving them options for responding to change.
Personnel and training
Managing the administrative staff and non-clinical management of nursing staff, including securing funding and taking lead responsibility in staff appraisal and in organising recruitment selection and training. Ensuring contracts of employment are provided to all staff and that all relevant employment legislation is followed. Ensuring the practices employment policies and procedures are comprehensive and up to date.
Finance and profitability
Responsibility for the bookkeeping, petty cash and other financial aspects of the practice including payroll and NHS pension scheme arrangements
Ensuring that all income and expenditure due to or made by the practice is received or recorded in the accounts of the practice and preparing financial reports for the partners.
Information technology
Responsibility for the computer system including organising any maintenance and developments to the system. Ensuring compliance with Data Protection legislation.
Patient services
Implementing and maintaining systems to receive patient enquiries and suggestions including oversight of the practice based complaints procedure in conjunction with the relevant partner. Reviewing and updating the practice information leaflet/website, practice publicity and health education material.
Future planning
Preparing a practice business plan, annual report and practice aims and objectives as required by the partners Keeping abreast of developments within the NHS that might impinge on the practice or individual partners and offering options for consideration by the partners.
Person Specification Qualifications- Has proven management experience, ideally in General Practice, primary care or a similar healthcare setting
- Has strong leadership, HR and people management skills
- Is financially literate and comfortable working with budgets and practice accounts
- Understands (or is willing to rapidly learn) NHS primary care contracts, QOF, enhanced services and CQC standards
- Is highly organised, able to prioritise and work under pressure in a busy environment
- Has excellent communication and interpersonal skills, with a patient centred approach
- Is confident with IT systems, data reporting and Microsoft Office; experience with EMIS Web is desirable
- Is proficient in Xero bookkeeping (highly desirable)
- Relevant qualifications in management, HR, finance or healthcare administration are desirable but not essential if you can demonstrate equivalent experience
