The Collections Analyst supports the Accounts Receivable team by reconciling and reducing receivable balances, maintaining accurate documentation, and assisting with internal workflows and customer communications. This role plays a key part in ensuring billing accuracy, resolving disputes, and maintaining organized records across multiple customer accounts. The analyst works cross-functionally with internal teams and customers to validate billing, track account activity, and support efficient resolution of outstanding balances while maintaining excellent service standards.
Key Responsibilities- Collect and reconcile receivable balances for existing customers and drive balances through to resolution.
- Ensure billing accuracy and proper cash application across customer accounts.
- Maintain accurate documentation, file management, and coordination of internal workflows.
- Review lease documents or purchase orders to validate billing, identify adjustments, and complete required paperwork.
- Initiate and track customer communications including calls, emails, and follow-ups.
- Escalate complex issues to supervisors when necessary.
- Support a high volume of customer accounts while maintaining organized records and timelines.
- Prepare past-due and default notices and coordinate with management regarding next steps including potential write-offs, litigation, or third-party collections.
- Maintain accurate notes and documentation in Sun Gard Avant Gard Receivables (Get Paid).
- Provide reporting and administrative support related to invoice aging, contracts, and internal requests.
- Perform additional duties as assigned.
- 1–3 years of collections experience within an Accounts Receivable department.
- Experience reconciling receivable balances and supporting billing validation processes.
- Experience managing customer communications and follow-up activities.
- Strong organizational skills and ability to manage multiple tasks in a fast-paced environment.
- Bachelor’s degree preferred.
- Experience using Oracle financial systems.
