Organizational Mission Context

Triad Cultural Arts is a Black-led cultural and historical organization dedicated to preserving, interpreting, and celebrating Black history, arts, and community life in Winston-Salem and the broader Triad region. Through initiatives such as the Shotgun House Legacy Site, Juneteenth, Kwanzaa, tours, and cultural festivals, TCA uplifts Black narratives, builds intergenerational community, and advances equitable access to cultural education and storytelling.

This contractor role supports TCA’s mission by strengthening operational infrastructure, amplifying community engagement, and ensuring the sustainability and visibility of Black cultural heritage programming.

Scope of Services

2. Financial & Accounting Administration

The Contractor will provide bookkeeping and financial coordination services, including:

  • Processing payroll and onboarding new contractors through ADP.
  • Posting financial transactions to Quick Books weekly, including attaching receipts and creating invoices for deposits.
  • Reconciling bank and credit card accounts monthly and maintaining accurate financial records.
  • Maintaining Quick Books products/services, vendors, customers, budgets, and forecasts.
  • Managing grant tracking spreadsheets, invoicing approved grants, and submitting grant reimbursement documentation.
  • Generating financial, grant, and program reports upon request.
  • Managing recurring financial obligations (rent, utilities, vendor invoices, annual fees) and setting up/maintaining auto-pay systems.
  • Liaising with financial and technology vendors (Quick Books, ADP, Pay Pal, Stripe, banking institutions) to troubleshoot issues.

3. Administrative & Organizational Support

The Contractor will provide administrative and systems support, including:

  • Responding to organizational emails and phone calls and addressing administrative requests within 24–48 hours when feasible.
  • Managing mail distribution, check deposits, and vendor payments.
  • Creating organizational documents, forms, presentations, and internal tools using Canva, Microsoft Office, and Jot Form.
  • Maintaining accounting procedures, process timelines, and internal operational documentation.
  • Participating in weekly coordination meetings and supporting data collection and metrics for organizational reporting.

4. Tours, Programs & Cultural Events Coordination

The Contractor will support TCA’s cultural programming, including:

  • Serving as the primary contact for tour requests and managing scheduling and logistics.
  • Coordinating tour guides, transportation (bus/trolley), routes, and communications with tour requesters.
  • Invoicing and tracking tour payments.
  • Supporting planning and coordination for key programs such as:
  • Juneteenth celebrations
  • Shotgun House tours and interpretation
  • Black Theatre Festival activities
  • Other community-based events and partnerships
  • Assisting with vendor coordination and day-of-event logistics to ensure inclusive and welcoming community experiences.

5. Communications & Digital Engagement

The Contractor will support TCA’s public communications and outreach, including:

  • Designing and scheduling monthly newsletters via Constant Contact.
  • Creating and posting event announcements, flyers, and campaigns on social media using Meta Business Suite.
  • Maintaining organizational calendars and identifying relevant community events for inclusion in communications.
  • Supporting storytelling and visibility efforts that center Black history, culture, and community narratives.
