Job Description SummaryAssist in the coordination, planning, execution, and follow‑up of Deacon Club events, tailgates, and other donor‑experience activities. Serve as the athletics staff liaison on game day and coordinate Development virtual events.
Essential Functions- Coordinate and execute all Development office signature events, including campaign groundbreakings, annual parents welcome events, scholarship brunch, spring tour events, ILC weekend, volunteer army events, and other activities throughout the year.
- Schedule dates and times across multiple offices; create event entries in DAD; manage event registration pages.
- Select and reserve sites, caterers, menus, themes, decor, entertainment, and audio/visual needs within established budgets.
- Plan event communications, including invitations, email reminders, and follow‑up materials (video, program, talking points).
- Serve as main contact for guests, hotel needs, golf outings, and the onsite contact for Development events.
- Respond to problems and ensure all aspects of events are implemented, controlled, and documented according to plan.
- Partner with University Advancement’s Events Team and serve as athletics staff liaison in donor hospitality areas on game day.
- Assist in negotiating vendor contracts to ensure costs and terms remain within budgetary guidelines.
- Develop, track, and adhere to event budgets.
- Support Deacon Club stewardship initiatives for donors; ensure compliance with NCAA rules and outside‑interest‐group regulations.
- Perform other duties as assigned.
- BS degree in business, administrative, liberal arts, social sciences, or related discipline plus 2‑3 years of related experience or equivalent education/experience.
- Knowledge of NCAA regulations and fundraising programs.
- Skill in organizing resources, setting priorities, and re‑engineering operations.
- Strong interpersonal, written, and oral communication skills.
- Ability to foster cooperation, develop short‑ and long‑range goals, and analyze financial data.
- Proficiency with computers and related software.
- Willingness to work evenings, weekends, and travel as required.
- Valid driver’s license with good driving record.
