This is a part-time to full-time on-site role for an Executive Operations Assistant located in Winston-Salem, NC. The Executive Operations Assistant serves as the operational integrator for Covenant Wealth Management and the strategic support partner to the Founder—ensuring the firm operates with clarity, consistency, and excellence. This role blends administrative and operational leadership with high-level executive assistance, supporting a culture of hospitality, professionalism, and operational precision.
Administration& Operations Responsibilities
- Greet and extend hospitality to clients and visitors upon arrival
- Manage the firm’s master calendar, including meetings, internal workflows, and office commitments.
- Maintain firm-wide communications, including email follow-ups, reminders, and confirmations.
- Operate the firm’s CRM, financial planning systems, and related software.
- Coordinate with allied professionals including CPAs, attorneys, bankers, and other professionals.
- Prepare account applications, service paperwork, custodian forms, and onboarding documents.
- Maintain and organize files (both paper and electronic), ensuring accuracy and audit readiness.
- Manage the database of action items and ensure timely completion of tasks across the team.
- Return calls promptly and follow through on commitments made.
- Prepare correspondence, meeting summaries, and follow-up notes.
- Support operational workflows with partner institutions and custodians.
- Provide direct administrative and operational support to the Founder/Senior Wealth Manager.
- Manage the Founder’s calendar, coordinate travel, and ensure adequate preparation time.
- Prepare meeting briefings and compile documents, reports, and summaries.
- Screen, organize, and prioritize incoming communications.
- Draft professional correspondence on behalf of the Founder with accuracy and discretion.
- Coordinate special projects, presentations, and speaking engagements.
- Assist with internal leadership initiatives including team meetings, accountability tracking, and process improvement.
- Help the Founder stay focused on the most important work by managing schedules, requests, and daily priorities.
- Serve as the primary point of contact for requests, helping direct time and attention where they are most needed.
- Operate and maintain the firm’s social media campaign system.
- Support the preparation of newsletters, online content, and educational materials.
- Assist with event planning for workshops, presentations, client gatherings, and partner events.
- Proficient in MS Office Suite and Adobe Acrobat.
- Mastery of online meeting platforms (Zoom, Teams, Go To Meeting , etc.).
- Maintain and update systems, templates, and standard operating procedures to ensure operational excellence.
- Authorized to manage scheduling priorities and workflow sequencing
- Empowered to resolve routine operational issues independently
- Escalates only matters involving client risk, compliance, or strategic firm direction
- Expected to recommend improvements to workflows, systems, and communication practices.
