Position: Attendance Welfare Officer P/T

Job Title

Attendance Welfare Officer – Term Time only, Grade 5, 20 hours per week (Wednesday, Thursday, Friday 8:30‑3:30)

Job Purpose

To provide efficient, effective and confidential secretarial support for Senior Teachers (Deputy Headteacher, Assistant Headteachers, SBM) and to oversee and maintain SIMS student records.

Principal Responsibilities
  • Provide a confidential word processing service.
  • Prioritise the flow of work to meet agreed deadlines, ensuring clerical work is managed efficiently.
  • Supervise clerical initiatives as required.
  • Enter data into SIMS: new pupils, leavers, in‑year amendments, electronic Common Transfer Files, and maintain the pastoral structure.
  • Monitor stationery stock levels and reorder as necessary.
  • Maintain pupils’ individual record files.
  • Provide regular attendance reports using governmental guidance and school priorities.
  • Administer free meals provision within the school.
  • Undertake other routine clerical duties to support a high‑quality service for the whole school.
  • Supplement duties with any work determined by the Director/Corporate Manager as per the Council’s Flexibility Policy.
Attendance Duties
  • Support the Headteacher on all attendance issues.
  • Use SIMS to locate students and telephone parents to ascertain reasons for absences.
  • Follow up outstanding absences in liaison with staff and parents.
  • Communicate with internal/external stakeholders about attendance.
  • Chase up absent students to ensure effective communication.
  • Sign in late pupils on SIMS and endorse school policy on punctuality.
  • Assist with pupils’ welfare duties and liaise with parents/staff as required.
  • Make truancy calls, follow‑up with referrals to EWO.
  • Produce absence data reports as requested.
Transport Duties
  • Assist with day‑to‑day transport arrangements (taxis, etc.).
  • Support the Assistant Headteacher on all transport matters, including safeguarding.
Reception Duties
  • Handle complex reception/visitor matters.
  • Answer calls, face‑to‑face enquiries, and sign in visitors.
  • Take messages and forward to the appropriate person.
  • Ensure all visitors are signed in/out and provided with correct visitor badges.
Educational Visits Coordination
  • Ensure a risk assessment is completed for each school trip.
  • Maintain trip information in EVOLVE system.
  • Liaise with staff over events and school trips, coordinate letters and parental consent forms.
General Administration
  • Maintain manual and computerised records/management information systems.
  • Produce official registers, photocopy, file, email, complete routine forms, and respond to routine correspondence.
  • Operate relevant equipment and computer applications (Word, Excel, spreadsheets).
  • Contribute to planning, development, and organisation of support services/procedures related to attendance.
  • Maintain student and confidential filing systems as directed by senior staff.
Safeguarding and Child Protection

Applicants must be willing to undergo child protection screening, including DBS checks with past employers and the Disability and Immigration Act requirements. All prospective employees must supply evidence of eligibility to work in the UK and provide three forms of identification at interview.
