Full-Time | Day Shift | Permanent

First Student is the largest student transportation provider in North America, safely transporting millions of students every day. We’re looking for a highly organized and detail‑driven Shop Administrator (Fleet Maintenance) to support our fleet maintenance operations in Winnipeg.

This position is essential to keeping our buses safe, compliant, and road‑ready by overseeing parts, work orders, and day‑to‑day shop coordination.

What You’ll Do Parts & Inventory Coordination
  • Order, receive, and track parts for school buses and fleet vehicles
  • Issue and manage Purchase Orders (POs)
  • Maintain accurate inventory records and monitor backorders
  • Work closely with vendors to ensure timely delivery
  • Support warranty parts processing and documentation
Service Writing & Work Order Administration
  • Open, update, and close work orders in maintenance software
  • Assist with scheduling preventive maintenance and safety inspections
  • Ensure accurate documentation of labour, parts, and repairs
  • Track outstanding work and follow up as needed
  • Maintain records to support inspections and regulatory compliance
Shop Operations Support
  • Issue and control vehicle keys
  • Assist technicians with parts lookups and repair history
  • Help coordinate daily shop workflow and priorities
  • Maintain organized electronic and physical records
  • Support reporting, compliance, and administrative needs for shop leadership
What You Bring
  • Experience in automotive, heavy‑duty, or fleet parts environments (preferred)
  • Service writer or shop administration experience is an asset
  • Strong computer skills (MS Office; inventory or fleet maintenance systems)
  • Excellent organization, accuracy, and multitasking ability
  • Strong communication skills and a professional attitude
  • Ability to thrive in a fast‑paced, safety‑focused environment
