Undergraduate Student Services Coordinator - Administrative Assistant 3 (CUPE 1482)
Existing Budget-Funded Continuing Full-Time 35.00 hours/week Monday to Friday, 8:30 a.m. to 4:30 p.m. with some exceptions during peak periods.
Salary Range: $30.76 - $43.37 per hour ($55,983.20 - $78,933.40 per annum)

- Allocates administrative tasks to the preliminary engineering program staff, as well as Departmental undergraduate student advisor staff.
- Determines new student services needed and monitors existing services.
- In collaboration with the Associate Dean (Undergraduate Programs) set priorities as necessary for Faculty initiatives and processes.
- Provides leadership and mentorship to the Faculty on all aspects of undergraduate student services and in cooperation with the Associate Dean.
- Oversees all aspects of undergraduate academic processes.
- Represents the Faculty in liaison with external units.
- Interviews, recommends on hiring, trains, evaluates performance and disciplines as necessary the support staff in the Student Services area.
- Assists Associate Dean with the collection and retention of student information.
- Coordinates the annual revision of the U1-First Year Planning Guide, Faculty Calendar and procedures.
- Coordination and administration of all the academic misconduct and non-academic misconduct cases that are referred to the Dean's Office.
- Communicates regularly with faculty Advising team, holds regular meetings, provides coaching, and organizes workshops, professional development, and team building opportunities.
- Advise new and returning students in planning their course load and schedule.
- Provide detailed information to high school counselors, parents of high school students and the general public regarding program areas in Engineering and the Faculty's admission requirements.
- Advise students of appeals processes, authorized withdrawals, exam deferral options, reinstatements, leaves of absence, and start afresh.
- Handles student matters and provide recommendations to resolve student related issues.
- Advise and provide program information and admissions criteria to prospective students (and parents).
- Responsible for all aspects of the Management Minor.
- Responsible for the review and posting of the Dean's Honour List following the end of each academic term.
- Coordination, scheduling, and administration of Supplemental Exams, in collaboration with the Department Advisors.
- Attend monthly UofM Advisor Coordinator meetings.
- Initial setup and the revision of all undergraduate and graduate courses in the Price Faculty of Engineering.
- Coordinates and disseminates scheduling information from the RO to departments; revise schedules in BANNER for Fall, Winter and Summer terms; meeting deadlines determined by the RO.
- Resolves online registration problems or queries.
- Coordinate all requests from Engineering for reserves in required courses being offered outside of the Faculty.
- Inform all departments in the Faculty regarding course section changes/closures.
- Monitor the registration numbers for all courses and advise on increasing capacity of sections or increasing the numbers of sections.
- Works closely with Advising Leads from all faculties.
- Annually prepare the Faculty's Preliminary Engineering Program course schedules for posting on-line.
- Track changes from the Academic Regulations and Curriculum Committee and ensure approved changes are entered properly in the Academic Calendar.
- Authorizes final approval for all student related University forms requiring Dean/Director's Representative signature and administers these forms.
- Maintains a record of Final Grade Reports for the entire Price Faculty of Engineering Undergraduate Program.
- Notifies Records Coordinator in the Registrar's Office regarding changes in academic policies and status of undergraduate students.
- Conducts impact assessments for all deferred examinations updating student records based on the grades.
- Works with Co-op office to ensure student records are accurate for all students registered in the Co-op program, providing support and training as necessary.
- Signing authority on all Aurora Student system requests.
- Administrative support as required.

MINIMUM FORMAL EDUCATION/TRAINING:
- University Bachelor's degree in a related discipline required.
EXPERIENCE:
- 3 years of directly related administrative experience required.
- An acceptable equivalent combination of education and experience may be considered.
SKILLS AND ABILITIES:
- Exceptional communication skills both verbal and written required.
- Excellent organizational skills are required, including planning and tracking multiple tasks simultaneously while prioritizing deadlines.
