We are seeking a full-time detail-oriented Payroll and Payables Assistant to support our property management portfolio. This role plays a key part in ensuring accurate payroll processing for on-site and head office staff, as well as timely and accurate processing of vendor invoices related to building operations and maintenance.
The successful candidate will thrive in a fast-paced, multi-property environment and demonstrate a high level of confidentiality, accuracy, and organization.
Key Responsibilities Payroll Support- Assist with the processing of payroll for property-based, head office and field employees (e.g., caretakers, maintenance staff, administrators)
- Maintain and update employee payroll records, including new hires, terminations, job changes, and deductions
- Support payroll reconciliations, remittances, and year-end activities (T4s, ROEs as required)
- Respond to employee payroll inquiries and resolve discrepancies
- Ensure payroll compliance with employment standards and applicable legislation
- Process high-volume vendor invoices related to building operations (utilities, repairs, contractors)
- Verify invoice accuracy, approvals, coding, and allocation by property
- Prepare and process vendor payments (cheques, EFTs)
- Reconcile vendor statements and follow up on discrepancies
- Maintain organized records by property and vendor
- Assist with month-end and year-end close processes
- Support budgeting and reporting by providing payroll and AP data by property
- Maintain accurate electronic and paper filing systems
- Perform other finance-related duties as assigned
- Diploma or certificate in Accounting, Finance, or Payroll
- 2–3 years of experience in payroll and/or accounts payable, preferably within property management or real estate
- Payroll Compliance Practitioner (PCP) designation or currently pursuing
- Knowledge of payroll legislation and statutory deductions
- Experience with payroll and accounting systems (ADP, Ceridian, Payworks, Yardi, or similar)
- Strong attention to detail and ability to manage multiple deadlines
- High level of confidentiality and professionalism
- Proficiency in Microsoft Excel and Office applications
- Strong communication and organizational skills
