The opportunity:The Confidential Assistant provides senior-level administrative and organizational support to the Associate Dean of Teaching and Learning, the Associate Dean for Undergraduate and International Programs, and the Director of the Dean’s Office, supporting both daily operations and long-term planning. Working independently with minimal supervision, the role manages complex scheduling, coordinates committees and meetings, oversees communications, and ensures adherence to the policies and procedures of the University of Manitoba and the Asper School of Business.
The position requires exceptional organizational skills, sound judgment, and the ability to manage multiple competing priorities in a fast-paced environment.
The role is critical to enabling senior leadership to fulfill their mandates and involves handling highly sensitive academic, personnel, financial, and student information. The incumbent must exercise a high degree of diplomacy, discretion, and independent judgment, ensuring strict confidentiality, effective conflict management, and compliance with university policies and applicable legislation while engaging professionally with internal and external stakeholders.
The qualifications and experience we’re looking for:- Completion of a post-secondary diploma or undergraduate degree in a related discipline.
- Minimum of 5 years senior-level administrative/secretarial experience.
- Experience working with sensitive and confidential information.
- Proficiency in data analysis tools and software (e.g. Tableau, Power Bi) is a plus.
- An acceptable equivalent combination of education and experience may be considered.
- Excellent verbal and written communication skills are required.
- Excellent interpersonal skills are required.
- Strong organizational and time management skills are required.
- Tact, diplomacy, flexibility, and the ability to maintain confidentiality are required.
- Strong understanding of MS Office 365, Teams, and SharePoint is required.
- Proven knowledge of current computer software such as Word, PowerPoint, and Excel is required.
- Ability to quickly learn other software such as Qualtrics (survey software) and reporting software is required.
- Work independently in a busy environment is required.
- Exercise tact and flexibility when dealing with sensitive issues is required.
- Work under pressure and managing a heavy workload is required.
- Work harmoniously and effectively with all levels of faculty, staff, and students in a variety of contexts is required.
- Multi-tasking is required.
- A satisfactory work record, including satisfactory attendance and punctuality, is required
