Position OverviewLM‑ESP is seeking a Project Coordinator to join our collaborative studio in a key project support role. This position is ideal for someone who is highly organized, an excellent communicator, and energized by working closely with Principals, Project Managers, and Project Leads on exciting, meaningful projects.
As a Project Coordinator, you will be an integral part of the project team—supporting project planning, communication, documentation, and coordination across all phases of work. Your contribution will help ensure projects and teams remain aligned, informed, and positioned to meet project goals and objectives.
This role enables our design teams to focus on creative excellence and project delivery, while you help keep projects running smoothly behind the scenes.
Key Responsibilities Project Coordination & Internal Team Support- Work very closely with the Project Manager and/or Project Lead to support the day‑to‑day coordination of projects.
- Support project schedules, meeting minutes, action items, and follow‑up to ensure teams stay on track and project commitments are met.
- Schedule in‑person and or virtual meetings internally and externally with broader team, client group, track attendance, keep minutes and distribute abroad for project records.
- Maintain and track project information including design decisions, scope of services, deliverables, and key milestones.
- Assist with monitoring progress against project schedules, budgets, and contractual responsibilities, proactively flagging risks or gaps.
- Facilitate clear, timely communication primarily within the internal project team to ensure alignment and accountability.
- Support coordination with external consultants and stakeholders, including scheduling meetings, follow‑up on assigned responsibilities and deliverables.
- Prepare and distribute internal and external project correspondence, updates, and reports as required.
- Maintain well‑organized project documentation, including meeting minutes, schedules, decision logs, and records.
- Support contract administration tasks and help ensure the team is meeting its contractual obligations.
- Assist with coordination of proposals, invoicing support, and tracking information in collaboration with accounting.
- Provide ongoing administrative and coordination support to the Project Manager to enable effective project delivery.
- Assist with permit applications, tender documentation, and construction administration activities as required.
- Post‑secondary education in architecture, interior design, project management, or a related field is considered an asset.
- 3+ years of experience in a project coordination or administrative support role, preferably within an architectural, engineering, or design environment. (not mandatory)
- Exceptional organizational and time‑management skills, with the ability to manage multiple priorities.
- Strong written and verbal communication skills and a professional, confident approach to collaboration.
- A proactive, detail‑oriented mindset with a genuine interest in architecture and the design process.
- Proficiency in Microsoft Word, Excel, and Outlook, Microsoft Project or other scheduling software, familiarity with emerging technologies and Ai welcome.
