Job Overview
The Primary Care Assistant role reports to the Clinical Services Manager at Nine Circles Community Health Centre. The position is full‑time, 77.5 hours bi‑weekly, and focuses on supporting client experience, system navigation, and clinic operations.
Responsibilities- Serve as the first point of contact for clients, guiding them through system navigation and advanced access principles.
- Execute a variety of administrative and clinical tasks that support clinic operations, including client flow management, environmental control, and client receipt and billing.
- Build and maintain strong relationships with clients through trust, empathy, and responsive care.
- Advocate on behalf of clients as needed, using knowledge of advanced access and system navigation best practices.
- Manage and maintain filing systems, patient records, and reference management.
- High school diploma, Manitoba standards, required.
- Successful completion of a Unit Clerk Course and/or a Medical Office Assistant Course (recognised programs such as Robertson College, Herzing, CDI College).
- Minimum two years experience in a medical reception environment.
- Proficiency in computers, electronic systems, programs, applications, email, and electronic calendars.
- Demonstrated knowledge and experience organizing and managing filing systems.
- Interpersonal skills and emotional intelligence: high level of interpersonal and communication skill required, self‑awareness, motivation, empathy, and social skills.
- Office management: safe and welcoming reception area, keyboarding speed 40 wpm, patient records management, internal and external referral management, telephone and mail procedures, knowledge of health insurance plans for clinic billing, administrative meeting support.
- Word processing: proficiency in Microsoft Word, document formatting, reconciling information among various programs.
- Clinical software: competence using Accuro EMR, creating templates and macros, preparing clinical documents, willingness to adapt to new applications such as eConsult, Panorama, eChart.
- Clinical tasks: record and/or measure height, weight, vital signs manually or electronically.
