Overview
Activate is a tech company known for creating Canada’s first full-scale interactive gaming facility. We are experiencing significant expansion and are looking to expand our team with the addition of an Accounts Payable (AP) Coordinator. The AP Coordinator supports the Finance team by managing Activate’s vendor payments and financial obligations. The role is responsible for the review and processing of invoices, data entry, timely payments, vendor reconciliation, and maintaining complete and organized records to support efficient financial operations.
This is a full-time, permanent position.
- Process invoices and payments daily, ensuring accuracy, proper coding, and required approvals in accordance with company policies.
- Match invoices to purchase orders and supporting documentation.
- Perform regular vendor reconciliations and resolve discrepancies in a timely manner.
- Monitor AP aging and escalate overdue or unresolved items as needed.
- Process cheque runs, EFT/ACH payments, and other bill payments.
- Assist with month-end close activities, including accounts payable–related reconciliations.
- Reconcile company credit card statements and employee expense reports.
- Support audit and financial review requests by preparing documentation and responding to inquiries.
- Ensure accurate filing and record-keeping of accounts payable transactions.
- Coordinate vendor account setup and maintenance, including banking details and payment terms.
- Maintain and update the vendor database to ensure accuracy and completeness.
- Prepare invoice and payment history reports to support purchasing and Finance.
- Coordinate recurring payments such as rent, utilities, and service contracts.
- Track outstanding invoices and follow up internally to ensure timely approvals.
- Perform other related tasks and duties as assigned.
- Ensure compliance with internal controls, company policies, and accounts payable procedures.
- Identify opportunities to improve accounts payable processes and increase efficiency.
- Support system updates, process changes, and documentation as needed.
- Post-secondary certification or diploma in Accounting, Finance, or a related field.
- Certificate in accounting or financial principles is an asset.
- Minimum 2+ years of experience in an accounts payable or similar accounting role.
- Proficiency in Microsoft Office, with strong skills in Excel; experience using accounting or ERP systems.
- Strong attention to detail, organization and accuracy.
- Ability to prioritize tasks and meet deadlines in a fast-paced environment.
- Strong communication and interpersonal skills to work with vendors and internal teams.
