Responsibilities

  • Answers switchboard, routes calls, and takes messages
  • Greets all visitors and channels them to proper personnel and/or departments
  • Signs for and distributes incoming packages
  • Provides typing services as needed
  • Answers incoming calls and identifies themselves to caller by the third ring
  • Ensures messages are delivered to staff and patients in a timely fashion
  • Notifies visitors of facility confidentiality procedures and ensures they sign the confidentiality form
  • Oversees postage meter; completes daily deposit and notifies the finance department when complete
  • Maintains monthly calendar for the facility
  • Receives and sorts mail daily
  • Ensures overall neatness of front lobby area
  • Maintains the in-service training log
  • Completes mandatory Essential On-line training
  • Completes monthly supply order and maintains stock inventory
  • Responsible for copier and fax machine maintenance and supplies
  • Ensures break room has appropriate supplies on a daily basis
  • Invite associates to the shared board
  • Ability to work on projects as assigned
  • Submit daily reports utilizing Excel and Word
  • Provide great customer service to patients
  • Coordinate transportation with drivers
  • Facilitate flow of patients upon arrival and coordinate peer or tech tours
  • Upload pictures and insurance information in Bestnotes
  • Enter required information in systems as required and upload files to multiple systems and shared files
  • Update Salesforce as needed
  • Assist the admissions team with new patients
  • Complete any other assigned duties
  • Coordinate flow of patients from front desk, intake, clinical team and rooms
Qualifications and Skills
  • Customer service orientation with ability to provide quality service to patients
  • Proficiency with Microsoft Excel and Word
  • Experience with data entry and updating multiple systems (e.g., Salesforce, Bestnotes)
  • Ability to upload files to multiple systems and shared drives
  • Strong organizational skills and attention to detail
  • Ability to work on projects as assigned and collaborate with teams
