Office Coordinator - Leland Clinic at Bodies in Balance Physical Therapy
Bodies in Balance Physical Therapy is a therapist-owned outpatient clinic in Wilmington, NC seeking an Office Coordinator for our Leland clinic. The Office Coordinator will lead the front desk and office operations, foster an organized, efficient environment with a patient-centered approach, interact with patients and therapists, and ensure clear communication with therapists and patients regarding insurance, scheduling, and patient concerns. The Coordinator will report clinic status to the owners and practice administrator from administrative and patient-communication perspectives.
This role supports keeping therapists on schedule and helps the day run smoothly for patients and staff. The Coordinator will promote processes that adhere to insurance requirements and facilitate co-pay collections. Other responsibilities include noting facility needs and coordinating maintenance and utilities. The ideal candidate will demonstrate professionalism, a calming nature, a positive influence, and leadership to help the clinic succeed.

Duties- Having excellent phone etiquette and skills
- Initiating and maintaining a positive patient experience
- Scheduling patient visits
- Ensuring accurate and friendly patient check-in
- Taking co-payments and co-insurance collections
- Running daily co-payment reports and following up with patients who have missed co-payments
- Communicating with insurance specialists regarding benefits
- Inputting explanations of benefits and checks received on spreadsheets and sharing information with the billing team
- Revising processes to improve efficiency and accuracy
- Entering therapists’ schedules in the EMR scheduling system accurately and timely
- Maximizing therapists’ schedule utilization by monitoring holes and filling them from the cancellation list
- Enhancing patient communication and assisting with thank-you and get-well notes
Compensation: starting at $16.50-$17.00 per hour
