Overview

Executive Assistant

The Executive Assistant provides administrative and secretarial support to the Cameron School of Business Associate Dean of Graduate Programs, International Programs, and Swain Center and serves as the Associate Dean's Chief of Staff with a focus on policy, program implementation, and facilitation. This position also coordinates facilities maintenance, repairs, renovations, orders supplies and equipment, and manages computer inventory. The Executive Assistant communicates with internal and external stakeholders, assists in public relations, coordinates external speakers, programs, and fund-raising activities, supervises student workers and graduate assistants, maintains contact lists, and reconciles and executes signature authority for expenditures from Cameron School of Business budgets.

The role requires diplomacy and discretion to handle confidential information and serves as HR liaison for graduate, international, and executive program staff.

Responsibilities
  • Coordinate the Associate Dean's calendar, travel, planning and scheduling; assist in meetings and events; assist in HR tasks; help with commencement; prepare reports; process travel requests and reimbursements.
  • Coordinate facilities maintenance, repairs, renovations; order supplies and equipment; manage computer inventory.
  • Represent the Associate Dean and CSB staff to internal and external stakeholders; assist in public relations; coordinate external speakers, programs, and fundraising activities.
  • Supervise student workers and graduate assistants; maintain contact lists; reconcile and execute signature authority for expenditures from CSB budgets.
  • Establish and maintain contact with other UNCW units and external entities (universities, associations, business community, students, general public).
  • Assist the Executive Assistant to the Dean of the Cameron School of Business on projects and act as backup when needed.
  • Serve as HR liaison for graduate, international, and executive program staff; handle confidential information with discretion; mentor and model performance; ensure integrity and internal controls in line with University policy.
Qualifications
  • Minimum

    Education and Experience:

    High school diploma or equivalency with three years of progressively responsible administrative/office management experience; or Associate's degree in secretarial science, business administration, or related field with one year of experience; or Bachelor's degree (preferably in business administration or related field); or equivalent combination of training and experience. All degrees from appropriately accredited institutions.
  • Preferred: Bachelor's degree; database management experience; administrative/office management experience; prior experience in an executive assistant role, preferably in higher education/academic setting.
