Position SummaryThe Operations Assistant supports non‑sales operational functions and development for Commercial Lines, Personal Lines, and Employee Benefits. The role ensures smooth, efficient, compliant service delivery and supports cross‑departmental initiatives.
Essential Duties and Responsibilities- Ensure regional operational standards are met and maintained in alignment with corporate and regional directives.
- Communicate goals, vision, and procedures effectively across teams.
- Promote teamwork and support cross‑department initiatives.
- Partner with Operational Leaders, Accounting, HR, and other departments to implement regional projects and directives.
- Coordinate and manage training logistics, scheduling, reporting, materials distribution, and record keeping.
- Participate in technology initiatives; attend change‑management meetings, maintain SharePoint, and troubleshoot basic issues.
- Support operational audits and performance tracking; compile data, reconcile reports, maintain dashboards, and assist process improvements.
- Oversee regional facilities and office operations, including mail, copier equipment, AED readiness, and security access.
- Prepare and deliver management reports, summaries, and data analyses as required.
- Pursue ongoing professional development relevant to the insurance industry.
- Maintain and update Standard Operating Procedures (SOPs).
- Assist with communication of workflow or system changes by creating and distributing internal announcements or guides.
- Uphold confidentiality, compliance, data privacy, and insurance regulations.
- Perform other duties and projects as assigned.
- 2–5 years of applicable insurance/agency/operational experience preferred.
- Exceptional written and verbal communication skills.
- Superior customer service and problem‑solving skills.
- Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel, Outlook).
- Detail‑oriented, self‑starter.
- Strong leadership, mentoring, and team‑building skills.
- Ability to handle competing demands and projects.
- Excellent organizational skills and ability to prioritize and delegate.
- Mastery of virtual technology, including remote meeting scheduling and screen sharing.
- Four‑year college degree preferred.
- Relevant Insurance licenses per state/regional statutes and as required by management.
- Advanced professional designation highly desirable (e.g., AIC, AAI, ARM, CIC, CPCU).
