Part-Time Customer Service Representative

Tenmat has an opening for a part‑time customer service representative role at our US headquarters in Newport, Delaware. The Customer Service Representative is responsible for delivering exceptional service to customers while managing the full order lifecycle, from order entry and coordination of shipments to invoicing and accounts receivable follow‑up. This role operates within a modern ERP environment (IFS) and requires strong attention to detail, effective communication skills, and the ability to collaborate with internal teams such as Sales, Operations, and Accounting.

• 2–4 years of experience in customer service, order processing, or related operational support role.
• Hands‑on experience with a modern ERP system (IFS strongly preferred; SAP, Oracle, Net Suite, or similar considered).
• Strong understanding of order fulfillment processes, shipping documentation, and basic accounting principles (A/R).
• Excellent communication skills—both written and verbal.
• High attention to detail with the ability to multitask in a fast‑paced environment.
• Proficiency in Microsoft Office (Excel, Outlook, Word).
• Experience working in a manufacturing, distribution, or industrial product environment preferred but not required.

• Serve as the primary point of contact for customer inquiries regarding orders, product availability, pricing, and shipment status.
• Enter and maintain customer orders in the IFS ERP system, ensuring accuracy in pricing, quantities, ship dates, and special instructions.
• Monitor open orders and proactively communicate delays, backorders, or changes.

• Prepare and process shipping documents including packing lists, BOLs, commercial invoices, and export paperwork as needed.
• Schedule shipments with carriers and logistics partners while optimizing for cost, delivery time, and customer requirements.
• Track shipments and provide customers with timely updates and delivery confirmations.
• Work closely with warehouse and logistics teams to ensure accurate and on‑time fulfillment.
• Maintain accurate customer records, order data, pricing, and shipping information in IFS.

• Generate customer invoices through the IFS ERP system and ensure timely delivery to customers.
• Monitor outstanding receivables; follow up with customers regarding past‑due balances while maintaining a professional and customer‑focused approach.
• Resolve billing discrepancies by collaborating with Sales, Accounting, and Operations.
• Record and update payment information and notes within the ERP.
