Overview
Legal Administrative Assistant – Medical Malpractice (Wilmington, DE)
Our Medical Malpractice Practice Group is seeking a highly organized and detail-oriented Legal Administrative Assistant to support attorneys through client intake, pre-suit investigation, and case preparation. This role is essential to keeping cases moving efficiently and ensuring critical deadlines are met.
- Client Intake & Lead Management
- Process new client sign-ups, including conflict checks and retainer agreements
- Track and follow up on unsigned retainers and coordinate execution
- Distribute executed retainers to accounting and maintain proper electronic filing
- Send welcome correspondence to new clients
- Pre-Suit Investigation & Records Coordination
- Prepare and send medical authorizations and request medical records from providers
- Request and track estate documents or death certificates when applicable
- Proactively follow up with clients and providers to ensure timely receipt of records
- Organize, scan, and maintain medical records within File Vine
- Create and maintain document trackers for records, bills, and case materials
- OCR and Bates stamp records in preparation for medical review
- Update case phases and notify the team when files are ready for attorney review
- Case Management & Deadlines
- Calendar and monitor statute of limitations deadlines, including advance reminders
- Calendar hearings, expert meetings, depositions, and trial dates
- Maintain accurate and up-to-date case files and communication logs in File Vine
- Prepare binders as needed for attorney review
- Identify and document client communication preferences to ensure timely case progression
- Financial & Administrative Support
- Process vendor and expert payments and prepare related correspondence
- Maintain referral tracking reports
- Manage department credit card transactions
- Assist with administrative marketing initiatives
- Review and distribute department mail
- Collaborate with internal Marketing Department as needed
- Prior legal administrative experience required; medical malpractice or litigation experience preferred
- Strong organizational skills with exceptional attention to detail
- Ability to manage multiple deadlines and follow-up tasks
- Experience with File Vine or similar case management systems preferred
- Professional written and verbal communication skills
- Proficiency in Microsoft Office
