Accounting Specialist

Vaco is hiring for an Accounting Specialist opportunity in Willoughby OH. Direct Hire, Onsite. Salary: 50-58,000/yr.

This role is responsible for supporting day-to-day accounting operations by auditing shipping documentation, resolving discrepancies, and managing accurate and timely invoicing. The ideal candidate is organized, analytical, and comfortable working in a fast-paced transportation environment where accuracy and follow-through are critical.

• Audit and review shipping documentation to ensure completeness and accuracy prior to invoicing.
• Resolve discrepancies or missing documentation with motor carriers and internal teams.
• Review and audit vendor payables to ensure alignment with Transportation Management System (TMS) quotes.
• Review customer rate confirmations and generate accurate, timely customer invoices.
• Ensure compliance with customer-specific invoicing requirements and standard operating procedures (SOPs).
• Follow up on outstanding invoices to support timely customer payments.
• Apply customer payments accurately to loads and reconcile payment activity.

• Associate's or Bachelor's degree in a business-related field, or 4+ years of relevant accounting experience.
• Working knowledge of Invoice-to-Pay and Order-to-Cash processes.
• Experience with two- and three-way matching.
• Understanding of general ledger concepts, including debits and credits.
• Reconciliation experience across various accounting transactions.
• Strong communication and conflict-resolution skills, particularly related to past-due accounts.
• Excellent organizational, time-management, and attention-to-detail skills.
