Job Summary

We are looking for a dynamic, friendly, motivated and experienced Administrator/Secretary to work within our Community Paediatric Service and wider Neurodevelopmental Pathway (NDP) team.

Main Duties of the Job
  • Provide comprehensive secretarial and administrative support to the community clinics and associated health professionals; actively participate in the development of the service.
  • Provide a customer focused service to the users of the clinics, coordinating appointments and workload management for the clinics, liaising with all staff.
  • Provide relief cover at other locations as requested.

Job Description
  • Provide a front‑line service for all service user enquiries, responding to telephone and face‑to‑face enquiries efficiently, tactfully and professionally.
  • Redirect calls, take action as appropriate and liaise with internal services and partner agencies when necessary.
  • Maintain, develop and manage all aspects of administrative support clinically and/or administratively.
  • Support Band 2 staff to attend and administer duties relating to Neurodevelopmental Pathway (NDP) panels; act as backup when Band 2 staff unavailable.
  • Operate a central booking system with efficient appointment management, building clinic sessions, managing waiting lists and breaches, and performing data cleansing.
  • Act as the superuser for the patient electronic computer system.
  • Requisition appropriate levels of stock and lower‑level clinical equipment on the Purchase Ordering system.
  • Display and provide information sources at reception with an attractive front‑desk display of posters and leaflets; distribute and collate all patient surveys.
  • Handle all internal and external mail and redistribution to relevant departments.
  • Accept deliveries and ensure they are dealt with promptly.
  • Maintain an effective photocopying, filing and archiving system, including records management in line with Trust policy.
  • Copy type and audio‑type medical reports containing medical/clinical terminology and general correspondence.
  • Report any faults, defects or building defects to the helpdesk.
  • Undertake Fire Warden and First aid duties as required to ensure legislative compliance.
  • Manage and book clinic and meeting rooms within the premises and keep room availability updated.
  • Maintain clinical diaries as requested.
  • Carry out inductions for all new members of staff and service users who may work within the post holder’s clinic location.
  • Communicate verbally and in writing with multi‑agency services regarding information which may be sensitive or highly distressing.
  • Arrange meetings between staff as directed, take notes and distribute the meeting notes to concerned parties.
  • Assist with research and audit activity using a variety of audit tools, including the internet.
  • Coordinate information received from external partners (e.g., Accident and Emergency reports).
  • Edit and format legal documents.
  • Oversee the administrative work of the department, allocating routine duties to others in the team.
  • Ensure all correspondence for the service is typed, allocated to clinicians or filed as required.
  • Screen referrals, highlight priorities to the team lead and support Band 2 staff with Systm One case management.
  • Provide a first point of contact and reception function for all enquiries regarding the service.
  • Assist in information collection for patients as requested by registered staff.
  • Operate computerised systems such as Systm One to support patient management.
  • Implement and maintain a centralised prescription database using Excel.
  • Record, supervise, and monitor new referrals, waiting lists and reviews in line with departmental policy.
