The Cancer Center of Kansas (CCK) is seeking a full-time, on-site Scheduler to join our team in our Wichita, KS offices. The typical work week is Monday through Friday, 8:30 AM – 5:00 PM with no major holidays, no on-call and no weekends. As part of The US Oncology Network, CCK delivers quality, personalized cancer care to communities across the state.

Under general supervision, this role is responsible for scheduling and managing patient orders and appointments in an efficient and timely manner. Answers all incoming calls, messages, and patient-facing questions or scheduling needs during clinic. This position requires a high level of customer service and the ability to effectively prioritize tasks. The position serves as a primary point of contact and liaison between patients and medical staff.
Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
- Answers all incoming calls and messages and assesses priority to appropriately respond, take a message, or direct to other clinic personnel.
- Obtains and communicates messages accurately and in a timely manner.
- Efficiently schedules patients in the computer system according to provider and office guidelines.
- Ensures patient accounts are up to date with accurate demographics, preferences and records before and between appointments.
- Cancels or reschedules appointments based on physician schedule changes or patient notices and notifies relevant clinic personnel of the change.
- Maintains assigned provider or resource-specific orders queue by accurately scheduling orders entered by medical staff, requiring multitasking and attention to detail.
- Communicates physician schedule changes to appropriate coworkers.
- Demonstrates understanding of patient confidentiality to protect patients and the clinic/practice.
- Follows policies and procedures of all relevant departments and workflows.
- Covers other front office functions as requested.
- Prepares correspondence, memos, forms, and other documents as requested by supervisor or medical staff.
- Coordinates internally to gather necessary pre-certifications or authorizations as required.
- Communicates with patients about scheduled items, including potential prep work, and gathers required patient information for systems or scheduling of internal or external appointments.
- May coordinate to schedule external appointments with hospitals, clinics, and organizations for established patients.
- Schedules and completes paperwork associated with referrals from medical staff.
- Has a basic understanding of medical terminology related to tests and procedures, including coding, and can look up codes specific to diagnoses, surgeries, and scheduling procedures.
- Maintains patient accounts in EMR and PMS systems.
- Collaborates with healthcare providers to optimize appointment availability and patient flow.
- Remains current on all compliance requirements and demonstrates knowledge of confidentiality, state, federal, and HIPAA laws and guidelines.
- Attends required meetings and remains current on all compliance requirements.
- Ensures all applicable policies and procedures of the company and Network are followed.
- Other duties as requested or assigned, including coverage within the department.
