Project Assistant

Terracon is inviting applications for the Project Assistant role. This position supports project delivery, document control, and client communications to ensure a great client experience.

General Responsibilities
  • Assist the project/program manager with resource management and assignment.
  • Collaborate with financial analysts/accountants to collect and enter information supporting project/program details, including timelines, budgets, schedules, proposals, contracts, and deliverable dates within applicable process systems.
  • Draft report deliverables and proposal materials for the project team.
  • Manage fee estimates and change orders in partnership with financial analysts/accountants and the project team.
  • Perform data entry updates to documentation and systems such as Terra Net and CRM.
  • Support management of Project Work in Progress (WIP), invoicing, and Accounts Receivable (AR).
  • Answer questions from Operations regarding Terracon client programs and system use.
Document Control
  • Provide document control per established processes to ensure quality standards and project requirements are met.
  • Offer administrative support to the project team, Operations, National Accounts, or Sectors.
  • Maintain project/program details in spreadsheets or other tracking systems, including timelines, budgets, schedules, proposals, and deliverable dates.
Project Delivery Support
  • Update project/program team leaders on client deliverables, status, and financials.
  • Assist with updates to Terra Net and/or CRM.
  • Support proposal and project registration setup as needed.
  • Maintain and update the Program Manual or related documents.
  • Help develop client communication plans and track project milestones.
  • Prepare specific written report sections, drawings, and attachments.
  • Draft proposals and fee estimates for standard or routine projects.
  • Create, track, and maintain change orders.
  • Assist with project registration and invoicing tasks.
  • Maintain an inventory of contracts for each project, ensuring signed copies are on file.
  • Respond to requests for information regarding design changes.
  • Help with utility locating services and clearances when directed.
  • Carry out engineering support tasks such as drafting boring and test pit directives, preparing logs, coordinating drilling, and field classification of soil and rock samples.
  • Schedule and communicate with the client regarding report status and delivery schedules.
Compass Delivery Focus
  • Maintain and update project‑level Compass data.
  • Train and coach project managers and team members on Compass use to enhance the client experience.
General
  • Follow safety rules, guidelines, and standards for all projects and participate in pre‑task planning.
  • Maintain quality standards across all projects.
  • Perform other duties as assigned.
Requirements
  • High school diploma with a minimum of 2 years of related experience.
  • Associate or bachelor’s degree in a related field preferred.
  • Experience with gINT Geotechnical software and AutoCAD LT preferred if applicable.
  • Proficiency in Microsoft Office applications.
  • A valid driver’s license with an acceptable violation history may be required.
