The Cancer Center of Kansas (CCK) is seeking a full-time, on-site Scheduling Supervisor to join our team in our Wichita, KS offices. The typical work week is Monday through Friday, 8:30 AM - 5:00 PM with no major holidays, no on-call and no weekends.

What does this position entail?

Responsible for overseeing the daily operations of the scheduling staff and their functions across all locations. Acts as liaison with physicians, patients and other office staff. Responsible for assisting in the development of scheduling team personnel and directly oversees and develops scheduling-related responsibilities to optimize workflows and support patient access to the clinic, maintaining high service standards. Supports and adheres to the US Oncology Compliance Program, to include the Code of Ethics and Business Standards.

Responsibilities

The essential duties and responsibilities of this position are:

* Supervise all scheduling functions.

* Oversee and assist in onboarding and training new scheduling staff members, delegating appropriate training tasks.

* Ensure team compliance with all relevant organizational and Network policies, procedures, OSHA, and HIPAA regulations.

* Serve as a liaison between scheduling staff, patients, and other departments to facilitate clear and timely communication as needed; escalates to the manager if there are issues or concerns that require decision making beyond daily operations.

* Direct any concerns or communications involving providers to the manager, ensuring such matters are handled at the appropriate management level.

* Provide departmental support as a backfill when staffing levels require additional coverage.

* Maintain knowledge of all workflows and systems the staff are responsible for using in their role.

* Maintain proactive awareness of staffing levels to ensure adequate daily coverage and optimal productivity.

* Communicate clearly and consistently with the team regarding workflow updates, policies, procedures, meetings, and other operational changes.

* Provide support to team members, addressing interpersonal issues professionally and confidentially and escalating to leadership when necessary.

* Uphold strict confidentiality in all matters related to personnel, patient, physician and leadership-level information.

* Assign and adjust duties to balance workload effectively while fostering a collaborative, team-oriented environment.

* Contribute to the development and continuous improvement of scheduling workflows, policies, and procedures to enhance quality and efficiency.

* Monitor team performance and productivity, identifying areas for improvement and recognizing achievements.

* Conduct regular performance evaluations and deliver constructive feedback to support professional growth.

* Promote a culture of continuous learning and development through coaching and mentorship.

* Serve as a liaison between the scheduling team and upper management to ensure alignment and effective communication.

* Demonstrate a thorough understanding of team roles and responsibilities to provide hands-on support when needed.

* Ensure all scheduling-related equipment and systems are properly maintained and fully operational.

* Coordinate scheduling and coverage adjustments to support team operations.

* Provide direct support to schedulers, offering guidance and troubleshooting or training assistance to optimize workflow efficiency.

* Demonstrate knowledge of and adhere to confidentiality, state, federal, and HIPPA (Health Insurance Portability and Accountability Act) laws and guidelines with regards to patient's records and information.

* Attends required, applicable meetings.

* Remains current on all compliance requirements.

* Ensures all applicable policies and procedures of the company and Network are followed.
