Customer Service

  • Answer and Route Incoming Phones Calls
    • Announce Caller to Staff Member before transferring call
    • Transfer caller to voicemail if staff member not available
  • Greet clients, vendors, contractors and other visitors upon arrival
  • Serve Beverages (Coffee, Tea, Water, Soda, and Sometimes Alcoholic Beverages)
  • Show Guest to Meeting Rooms
  • Politely, but firmly dismiss transient/homeless if they enter lobby area
General Office
  • Keep general office, conference rooms and coffee bar/ kitchen areas tidy
  • Make Coffee/Tea
  • Keep Refrigerators Stocked with Soda and Bottled Water
  • Keep Copy Machines stocked with paper
  • Keep storage cabinets/ drawers stocked with kitchen supplies (plates, cups, utensils, etc.)
  • Maintain Office & Kitchen supply inventories (based on standard lists) and process monthly order with vendor
  • Order catering for weekly management and office meetings, monthly partner meetings and as needed for other special events/ meetings
  • Assist with office clean-up efforts for special events (example: annual open house)
Administrative
  • Process incoming shipments and mail
  • Prepare outgoing shipments
  • Send print requests to vendors with accurate printing/binding/delivery instructions
  • Order interior finish samples from vendor website for interior designs department
  • Manage education lunch schedules w/ various vendors (one per month)
    • Assist education presenters with meeting set up/ basic AV Connections (more complicated connections handled by IT staff)
  • General typing including transmittals, field reports, punch lists (may be transcribed from recorded audio), letters, specification manuals (editing standard forms) and some spreadsheet work
  • Receive and route shop drawings/submittals to project teams
  • City of Wichita (or other jurisdictional authority) permit drawings submittal via web portal
  • Provide occasional back-up clerical assistance to administrative assistant
Preferred Skills/ Attributes
  • Excellent Customer Service and friendly, positive attitude
  • Organized, accountable, punctual and detail oriented
  • Professional demeanor and appearance per dress code
  • Mature and solid work ethic
  • Team oriented
  • Typing at least 50 wpm
  • Proficient in Microsoft Word and Outlook required
  • Experience in Excel creating basic spreadsheets and simple formulas a plus
  • Experience in Bluebeam (PDF program similar to Abode Acrobat) a plus
  • Ability to adapt to change
  • Ability to lift heavy weights (large drawing sets, brick & tile samples)
  • Availability for overtime as work dictates
  • Experience in designs or construction beneficial
  • Some college preferred
Schedule

M-F 8:30am - 5pm with half-hour lunch or 8:00am - 5:00pm if 1 hour lunch preferred
