Position: Office Manager (Hourly)

Key Responsibilities
  • Maintain an organized and efficient office environment, including supplies, equipment, vendors, and filing systems.
  • Serve as the primary point of contact for staff, visitors, and external partners.
  • Manage phone lines, shared inboxes, mail, shipping/receiving, and general communications.
  • Coordinate meetings, appointments, company events, and trainings.
  • Support budgeting, expense tracking, invoice processing, and assist with billing activities.
  • Perform accounts receivable support, including collections follow-up and payment tracking.
  • Serve as contract liaison by coordinating documentation, tracking status, and maintaining compliance records.
  • Track and manage purchase orders (POs) to ensure proper approvals and budget alignment.
  • Assist with tracking job productivity metrics and preparing operational reports.
  • Support HR administration, including onboarding, recordkeeping, and payroll/benefits coordination.
  • Improve and maintain administrative processes, workflows, and reporting deadlines.
Qualifications
  • Experience in office management, administrative support, or business operations.
  • Strong organizational, multitasking, and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office/Google Workspace and general office systems.
  • Detail-oriented with strong problem-solving ability.
  • Ability to maintain confidentiality and work in a fast-paced environment.
  • Preferred:
    Experience with billing, collections, contract administration, or financial tracking systems.
  • Preferred:
    Experience with HR, finance, or project management tools.
