Administrative Assistant/President's Secretary Position Purpose

Under the direct supervision of Bishop Carroll Administration, to provide a wide variety of complex and confidential administrative and secretarial support to the President and BCCHS Administrative team.

Essential Functions

Responsibilities include:

  • Assists President and Administrators with letters and other communications
  • Coordinates Human Resource benefits information Plan Source and Who's Where administrative duties
  • Handles incident reports and workers compensation claims
  • Maintains and oversees Pro Work payroll system for all employee's payroll
  • Maintains application system in Frontline Recruiting and Hiring including the posting of job vacancies and filing of required paperwork in Frontline Central
  • Oversees Frontline Absence Management for teachers and substitutes
  • Maintains personnel and permanent records files for past and present employees
  • Gathers information and maintains employee emergency forms
  • Assists with teacher licensure and experience paperwork
  • Prepares yearly school calendar
  • Maintains Faculty/Staff Handbook
  • Processes incoming mail for the purpose of sorting items in terms of importance and known priorities; send outgoing mail. Handles correspondence and faxes
  • Orders and distributes supplies to faculty/staff
  • Maintains phone system/voicemail system
  • Maintains ASSA key system and keyless entry key card distribution
  • Oversees the incoming freshmen applications and waiting list process
  • Prepares information for Buzz Book
  • Serves as liaison with Jostens representative
  • Notary Public
Additional Duties

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school office and operations.

  • Ability to maintain confidentiality of information regarding students, employees and others, financial information, collective bargaining information, etc.

  • Ability to carry out instructions furnished in written or oral form.
  • Ability to add, subtract, multiply and divide, and perform arithmetic computations.

  • Ability to process paperwork accurately according to standardized procedures.
  • Organizational, scheduling, and time management skills.
  • Knowledge of office management procedures.
  • Knowledge of state and federal laws relating to public education and public information.
Equipment

Uses standard office equipment such as personal computer, copy machine, fax machine, telephone.

Travel Requirements

Limited travel to and from meetings may be required.

Qualification Profile
  • Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Graduation from high school.
  • Associates degree with course work in business, word processing, office procedures and record keeping preferred.
  • Shorthand or speed writing skills desirable.

Successful experience of an increasingly responsible nature in public service, and executive administrative assistance or executive secretarial position
