Koch Equity Development (KED) is seeking an Executive Administrative Assistant to provide administrative support to multiple senior leaders of the organization. This position involves extensive contact with various levels of internal personnel as well as external customers. The successful candidate must be professional in manner and demeanor, detail-oriented and possess the ability to work with minimal supervision. The ability to maintain confidential information is a must.
The candidate must be naturally curious, a continuous learner and advance in the adoption of existing as well as new technology to find ways of automating and simplifying work processes.
As an Executive Administrative Assistant, you will be an essential part of a highly collaborative, fast-paced, and mission-driven team dedicated to enabling strategic growth for the organization. The team thrives in a culture of mutual benefit, continuous learning and principled entrepreneurship.
What You Will Do- Proactively manage senior leaders' calendars, prioritizing time according to strategic goals and resolving scheduling conflicts.
- Plan and coordinate complex domestic and international travel arrangements, including flights, ground transportation, hotels, visas, and passports.
- Prepare and reconcile expense reports, purchase orders, and purchasing card statements in a timely manner.
- Organize and manage leadership meetings, large events, and all-hands sessions, including agenda preparation and follow-up on action items.
- Coordinate meeting logistics such as room setup, catering, and technology platforms (e.g., Teams Live Events).
- Manage email correspondence and professional communications on behalf of leaders, supporting internal and external messaging.
- Act as a liaison and first point of contact for senior leaders, representing the executive office with professionalism and discretion.
- Interface with internal teams and external stakeholders to facilitate problem-solving and coordination.
- Maintain email distribution lists and assist in executing communication strategies across the organization.
- Handle general office management tasks such as visitor badges, security passes, and facility coordination for Wichita-based leaders.
- Continuously learn and adapt to new communication tools and platforms to enhance leadership support.
- Experience supporting senior executives or senior leadership teams in an administrative or executive assistant capacity
- Experience proactively managing senior leaders' calendars, resolving scheduling conflicts and prioritizing time aligned with strategic goals
- Experience scheduling and coordinating virtual and in-person meetings, including conference room reservations
- Experience booking domestic & international travel (flights, ground transportation, hotels, visas, passports)
- Experience preparing and submitting company expense reports
- Experience planning, organizing, and managing leadership meetings, large events, and all-hands sessions
- Experience operating and troubleshooting Teams Live Events and other communication platforms to support large virtual meetings.
- Experience working with and supporting remote and global individuals or teams
- Experience drafting, editing, and managing professional email correspondence for senior leaders and maintaining email distribution lists
