Administrative Assistant – Carbon Lehigh Intermediate Unit
The Administrative Assistant is responsible for the direct support of the Supervisor of Special Programs and Services and reports directly to the Supervisor.
Relationship:
The Administrative Assistant reports directly to the Supervisor of Special Programs and Services.
- High school diploma or GED.
- Minimum three (3) years of secretarial experience, preferred.
- Advanced computer skills, including Microsoft Office Suite and departmental software.
- Ability to work in a team environment.
- Proficiency with office equipment (phone, fax, copier, scanner, etc.).
- Maintains complete confidentiality.
- Excellent interpersonal skills: patience, understanding, congeniality.
- Strong oral and written communication skills.
- Organizes, plans, and manages tasks with minimal supervision.
- Attention to detail and accuracy.
- Regular attendance and adherence to work hours.
- Proficient data collection and entry.
- Provides high‑level customer service with knowledge of departmental services.
- Ability to stand, bend, stoop, sit, lift, reach, and communicate effectively.
- Independent ambulation around work areas.
- Travel to and from assigned locations without employer support.
- Ability to sit for long periods (up to 3 hours).
- Manual dexterity to efficiently perform duties.
The Administrative Assistant will perform all listed functions in accordance with established policies and procedures.
Functions,Duties & Responsibilities
- Handles all secretarial duties: filing, typing, data entry, review, electronic filing, and correspondence.
- Manages curriculum, student records/files, and staff requests.
- Answers telephone calls, responds to requests, and takes messages.
- Handles forms, records, warehouse requisitions, memos, and purchase orders.
- Maintains class lists and computing information in SPS student data systems.
- Processes entry/withdrawal forms and updates electronic student records.
- Distributes reports, forms, and requested information to parents, agencies, and the public.
- Manages incoming and outgoing mail.
- Places orders for office use, supervisors, and teachers via eSchoolmall.
- Types forms, letters, and memos, and formats them as directed.
- Assists with staff evaluations.
- Distributes Notice of Intent to Conduct Reevaluations and Opening Day Parent Letters.
- Maintains schedule for itinerant staff and tracks absences.
- Keeps accurate receipts of CBI funds dispersed under the supervisor.
- Schedules meetings, coordinates arrangements, and manages supervisor’s Outlook calendar.
- Prepares handouts, agendas, and other materials for supervisors.
- Uses spreadsheets to manage data files.
- Maintains assigned website pages and related publications.
- Assists with budget requirements (Nonpublic, EI, Corrections, TaC) as appropriate.
- Completes required Human Resources forms for hiring, transfers, and openings.
- Provides secretarial help for teachers and staff as needed.
- Additional duties may be assigned.
