Legal Secretary
Sophisticated, full-service law firm seeking a talented paralegal with 5+ years of experience in commercial litigation, real estate, and corporate matters. Our litigation group serves clients across diverse areas, including high-stakes business, real estate, and employment litigation. Our transactional group handles commercial real estate transactions, including office and retail leasing, and various corporate transactions.
Location: White Plains, New York (with additional offices in New York City, Los Angeles, and Connecticut)
Salary Range: $70,000 to $100,000.
Role Overview: As a vital member of our team, you will collaborate with attorneys throughout all stages of litigation in state and federal courts, including trials and appeals. Additionally, you will support our transactional group in commercial real estate transactions, office and retail leasing, and various business deals.

Responsibilities Opening New Matters- Set up new matters in various software platforms.
- Prepare engagement letters and litigation hold notices.
- E-file documents in New York (NYSCEF) and Federal (ECF/Pacer) courts.
- Ensure delivery of working and courtesy copies as needed.
- Manage the firm’s caseload by docketing, calendaring, and tracking tasks, deadlines, and court appearances.
- Update attorneys on case status and maintain electronic case alerts and docket monitors.
- Liaison with courts and vendors, including process servers and couriers.
- Assist with fact-checking and pre-trial investigations.
- Proofread, cite-check, and prepare Table of Contents/Authorities for briefs.
- Organize and file all case documents in our cloud-based management system, ensuring files are up to date.
- Draft and respond to discovery demands.
- Assist in deposition preparation and post-deposition analysis.
- Organize, manage, index, and redact documents produced by clients and adversaries.
- Assist in trial preparation, including creating trial binders and exhibits.
- Support during trial, including the use of trial software.
- Bachelor’s Degree or Paralegal Degree/ABA-approved Paralegal Certificate with 5+ years of law firm experience.
- Strong preference for Business/Commercial Litigation experience.
- Proficiency with Lexis, ECF/Pacer, NYSCEF, and formatting briefs.
- Proficient in Microsoft 365 (Word, Outlook, Teams, One Drive/Share File, Excel) and Adobe software for editing PDFs.
- Knowledge of CPLR, Uniform Civil Rules, and Federal Rules of Civil Procedure.
- Notary Public certification or willingness to obtain upon employment.
- High degree of ethics, integrity, and professionalism.
- Strong organizational, communication, and interpersonal skills.
- Results-oriented with excellent time and project management abilities.
