Overview

White Bear Center for the Arts is seeking a creative and detail-oriented Marketing & Development Associate to support our marketing, communication and fundraising efforts to boost our visibility, engage our community, and support organizational goals. The ideal candidate is an organized, visually driven storyteller with copywriting skills and a passion for engaging the community through the arts.

This position works closely with all departments, including programming, development, and exhibitions—and plays a key role in promoting classes and events, elevating our brand, and expanding our reach.

WBCA offers over 1,000 art classes in a variety of mediums taught by over 150 professional teaching artists, and a dozen free gallery shows per year within our three gallery spaces. Key Responsibilities

The Marketing & Development Associate is the primary “hands-on” executor for all marketing and fundraising operations, supporting the Marketing & Development Manager and Executive Director by keeping data, gifts, and logistics impeccably organized. This role focuses on processing, coordinating and executing the day-to-day work that makes donor relationships and marketing campaigns run smoothly.

Marketing & Communications
  • Manage and update WBCA’s website content, ensuring accuracy, accessibility, and brand consistency.
  • Take photos and/or videos of classes and events.
  • Promoting classes and events internally and externally (to current students and a wider audience).
  • Write and design WBCA’s weekly art email newsletter.
  • Update content for TV monitors located at WBCA's front desk, ensuring content is up to date and calendar of classes is accurate, as well as other on-site communication.
Graphic Design
  • Design visually compelling marketing collateral, including the triannual class catalog, annual report, flyers, social graphics, and signage.
  • Ensure all marketing materials align with brand guidelines and maintain a high standard of visual and editorial quality.
  • Write clear, engaging, and grammatically correct copy for print and digital use, including press releases, ads, and internal/external communications.
Development
  • Produce acknowledgment letters to all donors with three days of WBCA receiving a gift.
  • Gift processing and data management:
    Enter all gifts and pledges into the donor database, code correctly, and reconcile regularly with finance.
  • Generate and mail/email timely acknowledgment letters; keep standard templates updated.
  • Maintain accurate donor and prospect records, update contact info, and run queries and basic reports as requested.
Donor and Member Support
  • Prepare donor/membership renewal lists, lapsed lists, and mailing lists for appeals and newsletters.
  • Coordinate logistics for direct mail and email campaigns: list pulls, merges, printing, postage, and tracking responses. Draft or customize routine development communications such as thank-you notes, pledge reminders, and simple appeal language.
  • Help gather stories, photos, and basic program information from staff to support fundraising messages.
Events and Stewardship Logistics
  • Provide administrative and on-site support for fundraising and cultivation events (invitations, RSVPs, name tags, check-in, donation processing).
  • Assist with small stewardship touches such as handwritten notes and event follow-up emails.
Internal Coordination and Administration
  • Maintain an organized development calendar (appeals, events, grant deadlines, report dates) and flag upcoming tasks for the Marketing & Development manager.
  • Prepare routine development reports and donor lists for the Executive Director and board, as requested.
