The Accounts Payable (AP) Specialist manages our company's outgoing cash, ensuring vendor invoices are accurate, approved, and paid on time. They will handle high-volume data entry, reconcile daily cash statements, resolve invoice discrepancies, and maintain vendor relationships. This role is crucial for maintaining accurate financial records, managing cash flow, and preventing fraud.
Essential Functions Accounts Payable- Oversee the processing of vendor invoices and credit cards for all Cortec locations and for Bionetix International
- Maintains vendor records by assigning vendor numbers, ensuring all vendor documentation has been filled out, and W-9’s and other vendor tax information are on file
- Work with departments to assign general ledger numbers to invoices and enter information into the accounting software.
- Review invoices for accuracy; follow up, and problem-solve effectively
- Maintain weekly status of unpaid bills, set up for payment, generate checks, ACH, and wire payments
- Maintain daily cash sheets
- Update Accounts Payable processes and procedures
- Effectively work with other departments to resolve any discrepancies and streamline processes where applicable.
- Evaluate sales and use taxes as needed on each invoice
- Oversee the process of importing all corporate credit cards from Concur into accounting software
- Perform or oversee reconciliations on corporate credit cards
- Determine proper tax treatment and follow up as required
- Assists the Accounting and Finance department with miscellaneous duties.
- Maintain and prepare 1099 vendor records and reports.
- Work with employees to gather mileage & other fringe benefit information
- Other related duties as assigned
Experience: Minimum 3-5 years of previous experience in A/P required; must be proficient in the use of Microsoft Office products, including Word, Excel, and Outlook.
Hours: Monday-Friday 8:00 am-4:30 pm
