The department manages 39 facilities including recreation centers, senior centers, and indoor and outdoor aquatic facilities and provides thousands of programs such as out-of-school activities, aquatics, classes, youth and adult sports programs and leagues, senior programs, and therapeutic recreation.

WE ARE LOOKING FOR

The Department of Recreation is seeking a seasoned Administrative Specialist III to serve as the Director’s Office Assistant and central administrative coordinator for executive operations. This senior-level role independently manages complex office functions, partnership agreements, grants and non-competitive contracts, and high-stakes communications with County leadership and external stakeholders. The ideal candidate is an agile, discreet, and solutions-oriented professional who excels at executive support, policy and process leadership, and relationship management—ensuring the Director’s Office runs efficiently, compliantly, and in alignment with departmental priorities.

MAJOR

DUTIES AND RESPONSIBILITIES
  • Serve as the office manager for the Director’s Office, overseeing administrative workflows, procedures, and resource allocation to ensure efficiency, consistency, and adherence to County policies and regulations.
  • Coordinate and maintain office resources, including records management systems, equipment, supply inventories, procurement requests, and vendor communications, ensuring proper documentation and compliance.
  • Lead the drafting, review, tracking, and execution of partnership Memoranda of Understanding (MOUs) with more than 250 organizations annually, collaborating with Legal, Procurement, and internal stakeholders to ensure accuracy, timeliness, and compliance.
  • Oversee the department’s grants administration process by researching and compiling proposal content, preparing justification narratives and reports, monitoring compliance and deadlines, tracking expenditures, and coordinating documentation with internal teams and external partners.
  • Monitor, track, and follow up on departmental initiatives, special projects, contracts, deadlines, legislative inquiries, and constituent issues to ensure timely resolution and proactive communication.
  • Serve as a primary liaison between the Director’s Office, the Office of the County Executive, County Council, elected officials, County leadership, community organizations, and external partners, representing the department’s priorities professionally and effectively.
  • Plan and coordinate executive-level meetings, briefings, summits, and special events, including logistics, room scheduling, materials preparation, technology needs, and follow-up actions.
  • Research, compile, and prepare high-quality agendas, reports, briefing documents, presentations, talking points, and meeting summaries for executive leadership, ensuring accuracy, clarity, and alignment with departmental priorities.
  • Draft, edit, proofread, and format official correspondence, memoranda, contracts, reports, policies, and other documents requiring precision, professionalism, and confidentiality.
  • Support the development, review, communication, and implementation of departmental policies and procedures; facilitate staff training and monitor compliance, recommending improvements as needed.
  • Coordinate and provide leadership to Office Services Coordinators, including assigning work, offering guidance and coaching, resolving escalated issues, and ensuring consistent delivery of administrative support services.
