Position SummaryItasca School District 10 is seeking a responsible and organized Operations Administrative Assistant to perform a variety of administrative and clerical tasks within the District Office. This position will provide direct support to the Business Office and related functions while also assisting with general front office operations and district administrative needs.
Qualifications- High School Diploma or equivalent.
- Excellent organizational skills with working knowledge of office administration and practices.
- Ability to deal courteously and effectively with both the public and staff.
- Ability to work independently on confidential assignments.
- Ability to prepare and maintain complex records, assemble and analyze data, then prepare reports from such data.
- Ability to fluently communicate both orally and in writing with business-appropriate grammar and punctuation in English.
- Mastery of basic mathematical skills (addition, subtraction, multiplication, division).
- Proficiency in office technology, including Google Suite and Microsoft Suite.
- College degree (preferred).
- Two or more years of administrative support experience (preferred).
- Experience with Skyward or similar student/financial information systems (preferred).
- Assists the CSBO with the preparation and dissemination of confidential personnel matters, collective bargaining matters and proposals, policies, positions and information.
- Assists the CSBO with budgetary matters and other financial reports and financial data, including those to be used for wage and benefit collective bargaining purposes and proposals.
- Performs administrative tasks and assists the CSBO in the preparation of correspondence, reports, and filing of various documents, screens calls, responds to inquiries, schedules appointments, conferences and other meetings. Responsible for daily mail, filing, correspondence, memoranda, copying, telephone communications, organizational aids, and word processing.
- Coordinate all district bus transportation operations to ensure safe, efficient, and timely service for students.
- Manages front office duties, including answering phones, welcoming visitors, sorting mail, and ordering office supplies.
- Organizes and maintains departmental and district records/files.
- Processes free/reduced lunch applications and fee waiver applications, orders free/reduced lunches and milk, completes food service reporting to the state.
- Coordinates outside party facility usage, including maintaining the district facility use calendar.
- Assists with purchasing, entering purchase requisitions, ensuring appropriate use of account codes, bidding, and maintaining documentation to support purchases.
- Sets up and maintains spreadsheets or other tools for tracking contracts, bids, purchasing, activities, expenditures, payments, or other purposes.
- Ensures legal and public notices are made in support of business office activities.
- Serves as backup for Accounts Payable, Payroll, or other building secretaries when needed.
- Performs other duties as assigned.
This is a full-time, twelve-month position with a salary range of $55,000–$65,000, commensurate with qualifications and experience, plus benefits in accordance with district policy.
