Practice Coordinator
Location:

Pay: $23-26/hr

The Practice Coordinator supports the radiation oncology office. Responsibilities include scheduling, patient interaction (telephone and in‑person), administrative practice support, and special projects. The Coordinator greets patients, answers phones, schedules appointments, and coordinates with physicians, nurses, and ancillary staff to ensure safe clinical practice, continuity of care, and timely communication.
Key Responsibilities- Answer and triage inbound telephone calls, provide concise messages, and transfer to appropriate staff.
- Schedule and reschedule appointments for radiation oncology physicians, nurse practitioners, physician assistants, and ancillary providers using Epic and ARIA.
- Coordinate ancillary appointments (lab, imaging, medical/surgical oncology) and obtain insurance authorizations and referrals.
- Facilitate patient registration, consent, and completion of required paperwork, including radiation consent and financial counseling.
- Maintain accurate patient information in Epic and coordinate the collection of patient disability forms.
- Document and reconcile daily payments, cash, checks, and receipts; prepare deposits.
- Run clinic reports (e.g., bump lists, financial reconciliations) and perform departmental quality assurance checks.
- Assist with supply/shipments, including office supplies and clinical equipment.
- Serve as a super user for systems and provide training to staff.
- Support virtual visits and coordinate provider coverage for stereotactic and on‑treatment visits.
- Provide courteous telephone service, triage emergencies, and document messages.
- Transition calls to and from answering services and ensure timely message delivery.
- Coordinate patient disability forms and prescription refills.
- Monitor lobby and waiting areas for cleanliness and provide patient flow support.
- Offer customer service to colleagues and utilize specific systems.
- Maintain provider support by triaging needs and collecting records.
- Complete patient paperwork, insurance authorizations, and financial counseling referrals.
- Reschedule patients and ensure lab/radiology orders link to appointments.
- Reconcile daily payments and prepare deposits.
- Run clinic reports and perform quality assurance checks on patient charts.
- Support order supplies and shipments, maintaining adequate office supplies.
- Managed care policies and medical terminology (preferred).
- Working knowledge of Epic or other hospital billing systems.
- Strong Microsoft Office proficiency.
- Excellent customer service and communication skills, written and verbal.
- Self‑starter, strong team player, leadership potential.
- Ability to learn and apply new technology and procedures.
1+ years of administrative experience in a medical/healthcare setting, fluency in Epic, and strong Microsoft Office skills are required. Preferred experience includes Epic usage, management of radiation oncology scheduling, and prior authorization processes.
