Role Overview

Band 3 Sexual Health Administrator – 23.5 hours per week (Monday 08:45‑17:00, Wednesday 09:45‑18:15 (Weekly Portishead clinic), Thursday 10:45‑19:00). Post holder will work in the Weston General Hospital clinic and at a community clinic in Portishead (temporarily at Weston General Hospital).

Key Responsibilities
  • Welcoming patients and providing a friendly, professional welcome to visitors, patients, staff and service users.
  • Using multiple clinical systems to book appointments, prepare and process patient notes, and manage and process patient referrals and medical correspondence.
  • Answering telephone calls, taking accurate messages, dealing with queries and triaging patient and professional enquiries via phone, face‑to‑face, fax, email or mail.
  • Preparing and updating documentation using computerised systems, including photocopying, filing, scanning and record keeping.
  • Ensuring patient attendance to clinic in line with the Patient Access Policy and liaising with local hospitals and clinics.
  • Maintaining high standards of patient care by enacting the Trust’s values at all times.
  • Managing own time effectively, prioritising workload to meet competing demands in a busy, high‑pressure environment.
  • Responding to upset or angry members of the public calmly and professionally, understanding role limitations and accessing support when needed.
  • Participating in the Trust’s annual appraisal process and providing evidence to meet Knowledge Skills Framework requirements.
  • Keeping spreadsheets and relevant systems updated with patient outcomes to enable accurate audit.
  • Taking part in audit and associated duties.
  • Maintaining IT literacy and updating skills in line with the introduction of new systems within the Trust.
  • Receiving, sorting, date‑stamping and distributing incoming mail and preparing outgoing mail.
  • Providing support to other administrators and covering annual leave or sickness leave when required.
  • Potentially working over other sexual health sites.
Requirements
  • Fluency in English – assessed at interview (Part 7 of the Immigration Act 2016).
  • Ability to work independently and manage competing deadlines in a busy, high‑pressure environment.
  • Experience with clinical administration is preferred but not mandatory.
  • IT literacy and willingness to learn new computerised systems.
